CHAPTER III

This chapter is made to show the overall concept of the proposed

system of Malansad Nuevo High School. It includes the study, translation, and

visual representation of the proposed system. This chapter will also present

the goal of creating the proposed system.

General Objectives of the Proposed System

The Computerized Student Record Management System will provide a

modernized organization of information in terms of storing, securing, and

handling of records of the students. It will also fasten the process of

enrollment which includes the recording and updating of Final Grades, the

Subject Enrolled, Accounting, and the creation of Identification Cards of the

enrollees that will minimized and avoid the waste of time consumed on the

process of enrollment or recording to meet the goal and expectation of the

users.

Prospective Users

The proposed system will be used by the prospective clients such as the

registrar, faculty and staff. Letting them access in fastest way the information

that the Computerized Student Record Management System offers in any

form in terms of handling the record of the enrolled student.

Existing System

The Malansad Nuevo High School is still in the process of manually

recording and storing the information gathered in conducting interview to the

student. The proponents noticed and found out that the existing system does

not have the assurance that the information of the students is always secure

and also the process of recording of the data and other information is time

consuming.

Proposed System

The proponents created and proposed a Computerized Student Record

Management System of Malansad Nuevo High School with the following

reasons:

 To identify the existing system of Malansad Nuevo High School and

how it operates in terms of gathering, recording, and storing of

information of the students.

 To have an updated, complete, and detailed information.

 To decrease the time consumed in filling-up of forms.

 To provide a fastest way of accessing the information of the students

in just a click.

 To secure the personal and confidential information of the student.

Evaluation of the Proposed System

In evaluating the proposed system, the researcher conducted a system

testing in order to see whether the proposed system is effective than the

existing system and reader it meets the requirements needed.

The comparison between the existing system and the proposed system

is shown on Table 1. The comparative performance of existing system and

the proposed system.

Computerized Student Record Management System

The Computerized Student Record Management System of Malansad

Nuevo High School was primarily developed to meet the needs of the target

users in terms of recording of the student’s personal information. It was

systematically design in such a way that the proposed system will offer a

faster transaction, and well organized arrangement and storage of data that

will increased the possibility of its security.

Components of the System

This section will state the different features of the proposed system, the

processes and the functionalities.

The Computerized Student Record Management System has been

developed and designed by the proponents based on the need of the users

with the following general features:

 Faster way of recording and updating of the student’s information and

easy access to the needed record and reports with the assurance of

security.

 Systematic way of managing accounts and evaluation of Final Grades.

 Organizing of Subjects Enrolled by the student.

 Making of Identification Cards Automatically.

System / Software Development

The proponents created and developed a software that helps user do their

work with ease, organize, and more secure.

Windows operating system offers a platform for other program to run,

adding more elaborate user interfaces and features that make the computer

to run on more powerful and easier to use. However, the complexity of

modern systems made the need clear for some kind of orderly development

process.

It is primarily achieved through computer programming, which is carried out

by a software programmer and includes processes such as initial research,

data flow design, process flow design, flowcharts, technical documentation,

software testing, debugging and other software architecture techniques.

Specification Software

The Computerized Student Record Management System of Malansad Nuevo

High School was created according to the concept of modern technologies.

Software requirements specification capture system behavior as

opposed to non-functional requirements specifications which define attributes

as not behavior. This ‘functionality’ refers to services, tasks, or functions the

user performs using the system in question.

Visual Basic – Programming language allows programmers to create

software interface and codes in an easy to use graphical environment. VB is

the combination of different components that are used on forms having

specific attributes and actions with the help of those components. The

researchers used Vb10 as their programming language to create a useful

program.

Adobe Photoshop – An image editing software developed and

manufactured by Adobe Systems Inc. The researchers used the Adobe

Photoshop CS6 to design the Computerized Student Record Management

System’s logo, background, and other graphical images.

Security – Is the practiced of preventing unauthorized access, use,

disclosure, disruption, modification, inspection, recording of destruction of

information.

System testing – Is the testing of a complete and fully integrated software

product. System testing is actually a series of different tests whose sole

purpose is to exercise the full computer based system.

Microsoft Word – Is a graphical word processing program that users can

type with. Its purpose is to allow users to type and save documents.

Hardware Specification – Computer unit with Windows 7 operating

system, i3-30M CPU, 14” HD (LED BL), 4GB RAM, 32-bit Operating System.
