5. Poster Creation
6. Location to be sent to all
7. Mikes, Boards, Ballot, Room Arrangements (Cost dependency @John B to confirm)
8. To remind speakers to get their Evaluation sheets
9. Timed Agenda
10. Guest Book: common copy to have a record
11. Secretary to jot down MOM
12. Recording the meeting via laptop (ok with all clubs or not)
13. MOM Preparation (after the meet & upload to TM website along with group picture)
14. Pictures / Group Photo/ Photographer
15. Send rules of Rendezvous meeting
16. Min 6 participants from each club should be there: club VPEs to ensure that
