AGENDA FOR THE MEETING

The Emergency Meeting of the Student Body held on 16th of January 2021 was called to discuss the concerns
arising from the notification regarding vacating the hostels issued by Dr. Raka Arya, Chief Warden of the
University. The students of 2nd to 5th year batches of B.A. LL.B. (Hons.) course attended the meeting. The
Chief Warden of the University was also present in the meeting to answer the concerns raised by the students of
various batches.

MINUTES OF THE MEETING

At the very outset, the President of the Student Bar Association welcomed all the members of the student body
and stated the purpose for which the emergency meeting was convened. The Vice-President of the Student Bar
Association briefed the student body about the developments that took place prior to the commencement of the
meeting and after the notice for vacating hostels was issued. The Vice-President also informed the student body
about the conversation the Office Bearers had with Raka ma’am the day before.

The floor was then opened for noting down the queries and concerns of the student body. The concerns raised
by the students are briefly stated as follows:

1. Hostellers have a lot of stuff in the hostels and relocating them would require lots of
space. Are there necessary arrangements for the same?
2. Concerns regarding travelling were raised as trains usually run late and flights are
overbooked these days. It was pointed out that the exercise of coming to University just
for vacating rooms is not much fruitful, as the luggage burden is also not helping the
cause.
3. What if vacating of rooms cannot be done on stipulated dates and would students be
allowed to stay in hostel while vacating their stuff?

4. Can cupboards be used to keep the stuff? Is it necessary to keep things in the common
room?
5. There would be an increased risk of infection, as students would come in large numbers
on the campus for vacating their rooms during the stipulated period.
6. What is the purpose of vacating the hostels and why is it necessary?
7. If the reopening is going to be only for the 5th years, then why vacating all the hostels is
necessary?
8. What if something gets lost when the admin transfers the stuff from one place to another
as mentioned in the e-mail?

After the members of the Student Bar Association noted down the concerns raised by various students, Dr.
Raka Arya was requested to join the meeting. She stated the purpose of the entire exercise of vacating the
hostels and sanitizing the entire campus. It was informed that the entire process of sanitizing the campus would
take around two and a half months.

It was informed that people will not be allowed to stay on the campus and they must make alternative
arrangements for their stay in hotels or at any other alternative accommodation. It was further informed that
sanitization is a mandatory exercise that is to be performed by the University and necessary terms & conditions
may be imposed for easing the entire process. Arrangements for placing books somewhere else can be made but
not for other things like clothes. It was assured that all the difficulties of the students, including the luggage
concern and important documents that are there on the campus, would be taken into consideration and the
University Administration will try to find a solution for the issues pointed out by the students before the
notification comes into force in the future.

After hearing the concerns of the student body, it was informed that the notice of vacating the hostels would
be kept on hold up to February 10, 2021, and this period may be further extended as well. The President
assured Raka ma’am that the concerns of the student body would be compiled and then would be sent to
appropriate authorities.

The meeting concluded with a vote of thanks to the Chief Warden, Dr. Raka Arya, and all the students
who attended the meeting.
