PROJECT AND ITS BACKGROUND

The AMA Computer University aims to develop and train globally

competitive IT professionals with a comprehensive knowledge of the various

computing disciplines and technical skills that make up today’s information age.

Information is the key to the future. And harnessing the power of information is

the goal of many companies. Information management is needed is most

industries and it is the key to everyone’s success. The Hotel and Restaurant

industry also values information management. Without this, any company will

surely loose money. As part of that goal, it is pertinent to secure an easy and

economical software that can be used to manage a hotel.

Today most companies permit software developers protect not just their

financial information but also their customers. Having a safe and efficient hotel

management system is one of the steps in delivering this.

After a close analysis of samples collected during the problem definition

stage the researcher found that all the hardware and software requirements

needed for implementation and maintenance of the system. All of them are

readily available in the hotel and cheaply be utilized by the hotel. The system

was carefully designed to ensure maximum efficiency. With hours of skillful and

careful coding and systematic development of the design, debugging and

testing, the researcher sealed any possible loopholes in the system. The system

was developed using php and online website development software. This

system will indeed help the hotel management and the staff members to
manage and navigate the hotel’s functionality, its transactions effectively and

efficiently.

Project Context

The system will cover the website, online booking, and accounts details.

Moreover, it will serve as a means of introducing and reintegrating the hotel to

local and foreign tourists and the global market. It shall encourage people to

travel once again and enjoy the life in the province. To travel to wonderful places

and natural wonders of Cagayan.

To help the system smoothly carry out its intended purpose to meet the

hotel management needs in advertising and its re-introduction of the local

tourism industry amidst the pandemic. The website will show several sections

including introduction of the hotel, The Rooms, Other services offered, How to

contact the hotel and its staff and places to see in Cagayan.

Current Procedures followed by the Villa Victoria Hotel Staff.

Villa Victoria Hotel uses Facebook and Agoda.com to promote and provide

online booking for its clients. No website is use that aims to specifically market

the hotel. When searching the hotel using Google, Google Ads first website

show www.booking.com, second is www.agoda.com and third is the hotel’s FB

account - https://www.facebook.com/victoriahotel.76/. Personal visits to the hotel

will allow the guest to manually book their respective stay. Because of the

current COVID-19 Pandemic, the guests are required or mandated by the

government to sign or fill up the Health Declaration Form from DOH/IATF/DOT.

Another requirement is to provide proof or the Negative Result of a COVID-19

Swab Test. Currently the following information is obtained from the guests:

1. Name

2. Address

3. Contact Number

4. Valid ID Number

5. Company Name
6. Date of Accommodation (Check-in & Check-out Date)

7. And/or Number of days of accommodation

Check out Process:

1. Inform the Front Desk / Reception that they are checking out.

2. A staff member will check the rooms for damages, missing items, etc.

3. If damages or missing items are detected, they will be charged for each

item together with the remaining charge or balance of the

accommodation.

4. An official receipt is issued upon payment

Purpose and Description


Today, the website domain name www.villavictoriahotel.com is owned by

no one. The researcher aims to convince the owners to obtain the domain name

and lift the organization to the highest or first level when any person searches

the internet. One way of providing the most effective advertisement is by taking

the top three search results via google or any search engine. The current

system used by Villa Victoria Hotel employs the use of paper and direct human

communication – Verbal and non verbal, including financial information written

on paper receipts. Booking is done either by phone or word of mouth. The

guest’s personal information is written on sheets of paper which should include

Name, Age, Nationality, and Duration of Stay during booking. This information is

written by the staff or the receptionist of the day. The guest has the option to
either pay for their stay or pay a deposit and pay the rest of the balance upon

check out.

During check out, the staff assigned in the front desk checks the notes

provided in their notes and calculates any additional charges or fees. Which

includes but not limited to accommodation & meals. Once paid, an official

receipt is given to the guest as proof of payment.

In today’s situation where the hotel industry has been crippled by the

pandemic, part of the means to prevent disease transmission is by fewer human

to human contact. Which means social distancing is required. Using pen and

paper to convey messages, receipts and the likes should be limited.


Objective of the Study
This study aims to develop an a website and an online booking system

for Villa Victoria Hotel, Tuguegarao Cagayan, Specifically, this study has the

following objectives:

1. To design and develop a hotel website and online booking system

2. To provide features that the staff are familiar with that can ease

day to day transactions and activities.

3. To evaluate the system and highlight the benefits the system and

find improvements along the way.

4. Limit human contact either by introducing online payment like

Paypal, Venmo, etc., using credit or debit cards, and other payment

methods (Paymaya, G-Cash, Smart Money, Coins.ph, etc.)

5. This paper also aims to show the decline of profits suffered by the

tourism industry as the pandemic gripped the Philippines and the

world. It aims to open the eyes of the readers by providing engaging

an website to demonstrate the resilience of the Filipino people.


Significance of the Study
1. This system will allow people from all over to know that Villa Victoria

Hotel is one of the most promising hotels in the north.

2. It will provide better data management

3. Less storage.

4. It will provide advertising and promoting Tuguegarao and the rest of

Cagayan to local and foreign tourists.

5. It will help the crippling industry of tourism by advertising and showing the

world the beauty of Cagayan and its people.


Scope and Limitation
This study aims to provide the website and online booking system for

Villa Victoria Hotel. Located at 11-A Pengue Ruyu, Tuguegarao City, Cagayan.

It has a 24-7 operations that provide 30% of the total rooms capacity which is 11

rooms only as per the directive of the DOT (Department of Tourism) & the IATF

(Inter-Agency Task Force for the Management of Emerging Infectious

Diseases).
