Introduction

The Association of Administrators in Hospitality, Hotel and Restaurant Management


Educational Institutions (AAHRMEI) will be hosting the “1 st ASEAN Hoteliers’ Congress” on
June 19-21, 2018 with the theme “Building Sustainable Partnership among the Hospitality
Industry Stakeholders in ASEAN Countries”. A 3-day-event that will be held at the MOA
Arena, Pasay City with 2000 participants coming from different ASEAN School
Administrators, Instructors, and private individuals from different countries.
With the help of AG Events Company, this event will surely be a fun yet memorable
convention to all.

BOOKING PROCESS
∙ Fill out the Detail Form. With the guidance of an account manager/ business
manager.
∙ Finished proposal will be given to the requesting party on or before the date
specified in the DF, depending on workload.
∙ All proposals are subject to amendments, as per request of the client. ∙
Prices are subject to change without prior notice, until final payment has been
made.
∙ Booking of 50% is required upon reservation.
∙ The other 50% is given before the event of the agreed date.
∙ Payment should be made to the Finance Officer, or deposited to the Marc &
Joseph’s Events Account.

CONTRACT OF AGREEMENT

This agreement is entered into this th day of 2018 in Legazpi City, Philippines, by and
between;
Abigail N. Gimoro, with address at Washington Drive, Legazpi City, Philippines, as
the organizer of the event;
The organizer will provide the safety and security of the venue for its participants; The
organizers are not responsible to the participants that will break the rules during the event
that may cause accident to them. They will sign a waiver before starting the event; Official
photographer is designated every event;
There will be Photobooth on the last night of the event, AND

Alexis Tan is the one who communicates with the event organizer in behalf of the
Association of Administrators inhospitality, Hotel and Management Educational Institutions
(AAHRMEI);
The client is required of 50% down payment upon reservation;
50% is given before the event of the agreed date;
Refund policy process is 3-6 months (must follow refund of the company); Sudden
change of the date from the agreed final proposal will be charged accordingly; All expenses
which is not part of the package or proposal should be paid during the event;
Changes in the proposal except for upgrade will be charged 3% SERVICE CHARGE; All fees
during the event will be charged by the client such as (electricity fee, entrance fee, and
lights);
Corkage is not part of the package; corkage is paid during the event;
Food/ transportation for the coordinators will be shouldered by the company. Not unless
directives of the client;
Every time the coordinator proposed proposals please make sure you have a copy and
signature with date and time;
Excess of agreed pax will be charged per Diem accordingly in the package; Indecency,
misbehavior of coordinators should be reported to the Head Coordinator/ Managing Director;

Letter of dissatisfaction should be given for failure of meeting the proposal/
services; All packages are not convertible to cash;
Re-selling of the packages is allowed.

Contract Agreement to the Sponsors;

a. The organizer is responsible for the promotional and advertisement of the event
for the exposure of sponsors that will be participating in the said event. b. The
organizer will also provide the tarpaulins, flyers and other Marketing medium with
the company logo of the sponsors and partners.
c. Minors Sponsors will have the following exposures:
- Radio advertisement, logo presentation during the event, and company
logo in the tarpaulins, flyers and other Marketing medium.
- 2 Tickets in the “1st ASEAN Hoteliers’ Congress” and invited to the
Gala Night of the ASEAN Participants with other VIPs, Politicians,
and
Promising Business Men and Women. This will help the sponsors in
building linkages to other business.
d. Major Sponsors will have the following exposures:
- Radio advertisement, logo presentation during the event, and
company logo in the tarpaulins, flyers and other social media
medium.
- 4 Tickets for “1st ASEAN Hoteliers’ Congress” and invited to the Gala
Night of the ASEAN Participants with other VIPs, Politicians, and
Promising Business Men and Women. This will help the sponsors in
building linkages to other business.

Contract Agreement to the Suppliers;

e. The organizer is responsible for the promotional and advertisement of the event
for the exposure of suppliers that will be participating in the said event. f. The
organizer will also provide the tarpaulins, flyers and other Marketing medium with
the company logo of the suppliers for them to be acknowledge.

∙ Smoking is prohibited in the venue. In case that you will be caught, you will be asked to
leave the venue.
∙ All staff requires wearing I. Ds and designated uniforms during the event. ∙ Organizers
and committees may arrive to the venue an hour before the event. So, all the staff are
required to be in the venue in their designated call time.
∙ All staff must attend the event.
∙ Wearing slippers or inappropriate clothes are not allowed in the venue. ∙
Firearms are not allowed to bring except for the security personnel and police.

Protocol for the Participants

∙ All participants must attend the said event for 5 days. There will be registration every
day.
∙ Guest is not allowed to go or leave the venue when it is not yet done unless there is an
emergency situation.
∙ Smoking is allowed ONLY in designated areas.
∙ Delegates are not allowed to drink alcoholic beverages inside the venue. ∙ Guest will be
responsible for any loss or damage to the venue’s property caused by them.
∙ Only participants and organizers are allowed inside the event.
∙ Electronic devices must be in silent mode during seminar.
∙ Participants must always put their nameplates given by the event organizers in order for
them to be recognized.
∙ Wearing slippers, sando and shorts are not allowed to the venue.
