IV. RATIONALE

The end of the semester break marks a new chapter as the second semester dawns for each
bonafide student at Bicol University. It is imperative that an organization find a way to review
and analyze its efforts so far and, consequently, set and outline its course of action for the future.
The Bicol University Student Chapter of the Philippine Society of Mining Engineers will hold its
second official general assembly on February 3, 2023, at 12:45 PM in the college of engineering
gym, with the theme “EMphasizing Developments, EMulating Excellence.”

This event will be the second general assembly of the Mining Engineering Department for the
academic year 2022-2023. The gathering aims to present and discuss organizational
accomplishments and financial reports, address suggestions and questions, and lastly, discuss
other matters for the organization to take into consideration. This activity will also serve as an
avenue and opportunity to promote healthy camaraderie and inclusivity among the mining
engineering students while providing a platform for academic concerns, social discussions, and
departmental progress.

V. INTRODUCTION

As a logical consequence of recovery efforts from the effects of the COVID-19


pandemic, the disposition in higher education is transitioning toward a safe return to
physical grounds and bringing students back to school campuses. As the new
semester commences, it is crucial for an organization to look back at its
accomplishments thus far, recognize key areas for improvement, and establish an
initial conceptual framework for its future endeavors.

With this, the Philippine Society of Mining Engineers—Bicol University Student


Council will be conducting its 2nd General Assembly for the academic year 2022–
2023, which is set to transpire on the afternoon of February 3, 2023, at the Bicol
University College of Engineering Gymnasium. It mainly strives to discuss more about
the organization's initiatives for the current semester. Furthermore, reports on the
accomplishments and finances from the previous semester will be delivered and
explored at the meeting. Moreover, it will give mining engineering students from
various year levels an opportunity to interact with one another and establish rapport
with each other.

VI. OBJECTIVES

The goal of this event is to gather all the current BS Mining Engineering students of
Bicol University to discuss and examine both the past and future course of action of
the PSEM-BUSC, all while fostering solidarity and cultivating social discipline.
Specifically, the assembly aims to:

1. Present the detailed program of activities for the second semester;

2. Discuss the accomplishment and financial reports for the past semester;

3. Talk about the organization’s income generating project (IGP) for this
academic year and;

4. Showcase the students’ talents through their intermission numbers;

5. Impart substantial and inspirational words to the participants for them to


keep going and striving;

6. Hone the students’ behavior when it comes to attending significant


occasions like general assemblies, and;

7. Foster camaraderie and rapport among the current BS Mining


Engineering Students of Bicol University

B. POLICIES AND GUIDELINES DURING THE EVENT

The participants of the event are expected to strictly observe the following policies
and guidelines before, during, and after the event proper:

1. All BS Mining Engineering Students are mandated to attend the general


assembly. Monitoring of attendance for each year level will be required.
2. The PSEM BUSC Officers are expected to fulfill their roles and responsibilities
mainly by following the project deadlines, as well as committing their time and
expertise to achieving the event’s success.
3. The PSEM BUSC Officers will wear their organizational uniform.
4. Pre-recorded speech videos may be an option for the guest(s) who will be
taking part in the event.
5. Ice breakers and intermission numbers in between the event’s conduct should
be done live.

C. PROCESS OF PLANNING

Each committee is given responsibilities to fulfill in order to ensure the event's


realization and success.
EXECUTIVE CHAIRMAN

- The event's overall production is expected to be completely under the executive


chairman's control and supervision before, during, and after the event. They are
in charge of steering the project and have the power to delegate tasks to the
officers so that conflicts can be promptly fixed at any given time.

CO-CHAIRMAN

- The co-chairmen of the event are to assist the executive chairman in any way
they can. Specifically, they are to meet any requests and demands assigned to
them by the executive chairman related to the event at hand.

SECRETARIAT’S COMMITTEE

I. In charge of overseeing the recording of attendance during the entirety


of the event
II. Taking documentation during the event.
III. Summarized report after the event.
IV. Assisting the Invitations and Requests’ Committee

MASTERS OF CEREMONY

I. Introducing speakers or performers, unveiling agenda items, and


commending sponsors
II. Ensure there is a smooth transition between the program's sections and
maintain the event's steady pace within the time allotted III. Cultivate a
sense of excitement and enthusiasm

CERTIFICATION AND PUBLICATION’S COMMITTEE

I. Securing that the invited guests and specific speakers will get their
respective certificates.
II. Drafting and production of publication materials to be posted on the
organization’s social media page(s).
III. Other factors concerning lay-outs and designs. IV. Creating captions for
the publication materials.

INVITATIONS AND REQUESTS’ COMMITTEE

I. Writing and sending of invitation letters to the PSEM-BUSC adviser, and


other invited guest(s) or speaker(s).
II. Organizing letters of invitation and/or requests, specifically to
individuals or organizations outside the college (e.g., potential
sponsors, etc.,).
III. Assisting the Secretariat’s Committee.
FINANCE COMMITTEE

I. Take charge of any matters concerning finances.


II. Act as the overall main officers delegated for financial affairs.

TECHNICAL COMMITTEE

I. Collecting important files and presentations to be used by the speakers


and/or guest(s).
II. Preparing the technical equipment such as the laptop and projector prior
to the start of the event.
III. Back-up or alternative plans in case of unwanted power interruption
as well as internet loss, and technical difficulties.
IV. Documentation of the event.
V. Assisting the Certifications and Publication’s Committee.

ENTERTAINMENT COMMITTEE

I. Management of the intermission number(s).


II. Taking charge of the different ice breakers throughout the event.
III. Setting the atmosphere of the event in order to maintain the participants

UPDATES AND INFORMATION COMMITTEE

I. Updating and disseminating relevant information to the target students


regarding the event.
II. Posting of publication materials on the official social media page(s). III.
Act as the main information officers for the said event.

VENUE COMMITTEE

I. In-charge of setting up the place for the event and making sure that the
materials and equipment are prepared.
