Project Charter

Project Purpose and Justification

TRX Ltd has been in the home renovation industry for a long time and has built a solid
reputation in the market by delivering great quality work on time and within the specified
budget. The company is in New Westminster and has projects all over British Columbia.

According to recent surveys by research institutes, TRX ranks 4 th in British Columbia in house
renovations. TRX is now expanding its business into office renovations. As a part of the
company’s vision, TRX wants to penetrate the office renovation business and lead the market.

Flywire’s office renovation is a great opportunity for TRX Ltd to secure a place in the office
renovation market and showcase its capability.

Project Objectives

The main objective of Flywire office renovation is to expand their business into office
renovations. With the successful completion of this project, the company expects to show its
presence in the industry in BC.

TRX calculated the project with a 15% markup instead of their business model of 30%. We are
using this strategy hoping to enter a new market and be competitive with our competitors. Our
plan is to go with new suppliers and maintain a good relationship with them so that we get good
discounts for the coming projects and can cover our profits according to our business model.

The main supplier of the materials required for this project is Avid Suppliers located nearer to
the project venue. By doing business with these new suppliers, we plan to establish new business
relationships. This may help us in our future projects, which can lead to even better pricing for
materials for the coming projects which will then result in covering our profits.

Project High-Level Requirements

The renovated office will provide a comfortable and modern working environment for the
employees. The requirements include as follows:
 Increase the size of the conference room and add windows on one side of the room.
 Improve the air ventilation system to ensure the comfort of the office during the summer
period.
 Increase no. of windows on each side of office and the windows’ size and use the natural
light through the windows to save energy.
 Provide reasonable spaces between individual workstations to maintain privacy and
eliminate distraction.

 Add more shared areas for small group discussion.


 Improve the air ventilation of female washroom.
 Reserve some areas for placing indoor plants inside the office areas.

Project Description and Boundaries

The renovation includes the design and construction of the ground floor. Details are as follows:
 Ground floor to accommodate 70 staff.
 The conference room to accommodate a maximum of 25 people.
 Add 2 projection screens on two sides of the wall of the conference room.
 2 meeting rooms to accommodate a minimum of 4 people per room.
 Add 1 table and 2 chairs to the pantry.
 2 microwaves, 1 coffee maker, 1 refrigerator for pantry.
 3 sinks for each washroom.
 Lounge corner with 4 chairs.
 1 Reception desk.
 Use adjustable electric standing desk for each workstation.
 Replace indoor light fixtures.
 Add sofa for shared areas
 Items/areas to be excluded from the project:
 Installation of telephone line
 Computer equipment – laptop/desktop
 Printers and copiers
 Indoor plants
 The stairs between ground floor and 1st floor
 The lighting outside the property
 Driveway

Project high-level risk

 Unable to follow proper building codes and regulations can result in a delay in the
project's completion.
 Usage of low-quality material can result in maintenance problems.
 Unfortunate accidents and injuries can result in an extension of the deadline.
 Poor communication between stakeholders and the project team can result in
misunderstanding and can increase the chances of mistakes.
 The project schedule is rigid and the TRX renovation team has no room for delays.
 The design team may face damaged structures and beams or pest infiltration.
 Moist weather may affect the painting process by creating uneven coatings.

Project Budget

Flywire has accepted the budget of $1,500,000 and has signed an agreement with TRX Ltd.

The approved budget for this renovation has been set at $1,350,000 with a set-aside contingency
of $150,000. Every change in the project scope will be communicated by the Project Manager to
the client and both parties will sign the changes that are required.

TRX Ltd will be receiving a $400,000 deposit while starting the project and with payments at
every key interval throughout the project timeline.

Project Assumptions and Constraints

Assumptions

 A defined budget of $1,500,000 has been allocated to complete the project.


 The office floor is legally owned by our client.
 The client will vacate the property for renovation.
 The TRX project team will complete milestones according to the schedule.
 The project will be handed over by 1st May 2024 to our client.
 TRX Ltd will secure a 15% profit margin.

Constraints

 The project budget is fixed at $1,500,000 including a contingency fund and cannot be
exceeded.
 The property is in a busy street which makes delivering raw materials difficult.
 The renovation team must abide by the noise restrictions laws while working as the office
is in a busy office building.
 The renovation must be completed by 30th April 2024 as there is an office party on 3rd
May 2024.

Organizational Influence

 The project team will work only on weekdays excluding public holidays. This period can
be increased to complete the project on time.
 TRX Ltd always fulfill the project within the decided budget.
 TRX Ltd follows ecofriendly ways and makes the maximum usage of environmentally
beneficial products.
 The team will make the best use of space, which will help with the accommodation of
more employees.
 The team will follow all the necessary rules and regulations.

Environmental and External Influences

 Potential for labor disputes and/or material and supply delays.


 Construction workplace health and safety is a high priority of the Ministry of Labor, and
this site would be subject to mold inspections.
 Not able to fully comprehend if there will be any major issues during the renovation from
 adjoining properties?
 The home renovation marketplace remains “hot” in the GTA and G1 must be mindful
that a scarcity of key materials and fixtures with any delay in the supply chain may have
a significant impact on the project budget and/or schedule.

Project Approval Requirements

 The project manager will prepare the budget after negotiating with the interior designer
and the client will finalize it.
 All the activities included in the scope will be agreed upon by the client in writing.
 The client will approve the schedule formulated by the project manager.
 The scope cannot be changed until agreed upon in a written document by the client.
 The budget, schedule, and quality compliance will be the basis for the success of the
project.
