I. JOB MISSION

The position is responsible in performing acquisition functions including


coordinating with book suppliers, ordering, and receiving all library materials and
other related activities in relation to acquisition. Organize lists of requested library
materials and facilitate requisitions in coordination with the Purchasing and
Accounting Departments.

II. KEY RESULT AREAS

1. Comprehensive and up-to-date library resources


2. Accurate and efficient processing of requisitions of library materials
3. Well-established relationship with suppliers, purchasing and accounting
departments

III. DUTIES AND RESPONSIBILITIES

Regular:

1. Review publishers’ announcements and catalogs, and compile lists of


requested library materials for purchase.

2. Process requisitions of print and non-print materials.

3. Compare selected library materials with the existing collection to avoid


duplication.

4. Receive newly purchased library materials, verify the receipts and receiving
reports and then endorse them to the cataloger for processing.

5. Assist Head of Section, Technical Services for planning and coordination of


general technical services work and special projects and in developing and/or
refining policies and procedures as related to acquisitions.

Occasional:

1. Coordinate with the Faculty Library Committee to determine what materials


are needed of each department.

2. Assist in the preparation of budget for library collection.

3. Perform other related duties and responsibilities which may be assigned by


the Chief Librarian and /or Director, Learning Resource Center.

IV. COMPLEXITY OF WORK

Analytical:

Assigned task involves routine or standard procedures but demands recognition


of deviations from accepted routine.

Interpersonal:

Coordinates with the Faculty-Library Committee, Department Heads and Deans


for the selection, evaluation and processing of requested library materials

Contacts Purchasing Office for follow up of the requisition

Deals with publishers, distributors, and suppliers for evaluation and acquisition of
library materials and pull-outs

Work Effort (Physical, Visual & Concentration):

Lifting, carrying and shelving of books for evaluation and/or acquisition require
physical effort.

Visual attention and concentration is needed in making reports and encoding


summary lists of newly acquired library materials

May be required to travel

Work Condition:

Air-conditioned office environment, almost 100% of the time spent in the office

Supervision Given:

Related tasks; work methods are well-defined or covered by standard operating


procedure; workload of subordinates are uniform or similar; direct supervision of
personnel is required

General and continuous supervision

VI. JOB SPECIFICATION

Formal Schooling:

A Graduate of Library Science or Library and Information Science with professional


license for Librarians

Experience Required:

At least 2 to 4 years experience in Library Operations

Special Skills Required:

1. Thorough knowledge of library practices, procedures and techniques


2. Excellent communication skills
3. Strong evidence of initiative, flexibility and creativity
4. Knowledge and skills in library technology
