MECHANICS AND GUIDELINES FOR THE

112th COMMENCEMENT EXERCISES


August 22 – September 7, 2023
CvSU International Convention Center

I. PARTICIPANTS

• All candidates for graduation who have completed the requirements for
their title/degree programs in this year’s Commencement Exercises.

• Morning ceremony starts at 8:00 o'clock while afternoon ceremony at 2:00


o'clock.

• Graduation ceremonies will be held at the CvSU International Convention


Center (ICON) except for Carmona, Bacoor, CCAT and General Trias
campuses.

III. PROGRAMS/ INVITATIONS

• Programs/invitations and tickets for parents/guardians shall be distributed


to the candidates for graduation on ________ at the venue of graduation.

IV. PREPARATORY ACTIVITIES

• All candidates for graduation shall attend the Rehearsals at CvSU ICON
following this schedule:*

• Candidates shall bring their Pajah during their scheduled rehearsal.

V. EXPECTED TIME OF ARRIVAL AT THE ASSEMBLY AREA

• All candidates for graduation, together with their companion are expected
to arrive at the assembly area (in the covered path walk going to CVMBS
across CvSU ICON) two (2) hours before the scheduled ceremony per
cluster. *

• College/Campus registrars should see to it that all candidates for


graduation are in the assembly area on the said time for checking of
attendance.

• Thirty (30) minutes before the start of the procession, candidates must be
on their designated line and place to be assisted by the marshals and
facilitators. They shall maintain order, check on the prescribed dress code
and implement graduation reminders/protocols.

• Only one companion per candidate with honors shall be accommodated
inside the CvSU ICON.*

• Only one parent/guardian of a candidate for graduation without honors shall


be accommodated inside the S. M. Rolle Hall.*

VI. ORDER OF ACTIVITIES

A. ACADEMIC PROCESSION

• Proper decorum befitting graduating students shall be strictly observed.


Assigned University Marshals shall initiate the order of procession.

• Senior Marshal shall be in-charge of candidates for graduation who are


assembled on the covered path walk going to CVMBS across the CvSU
ICON.*

• Junior Marshal shall be responsible for the college/campus registrars,


faculty, staff and graduation committee members who are assembled on
the covered path walk across Baño de Señora. He shall also be responsible
for the University officials, members of the Board of Regents, and Guest
Speaker to assemble at the lobby of the CvSU ICON.*

• Procession shall start at exactly 8 a.m. for the morning session and 2 p.m.
for afternoon session.

C. START OF THE PROCESSION AND SEATING ARRANGEMENT

• Upon the signal of the Senior Marshal, the procession shall start to
move/proceed towards the graduation venue. Everyone joining the
procession shall observe and follow the minimum health and safety
protocols.

• Upon entering the venue, college/campus registrars, with the help of the
ushers and usherettes, shall direct candidates for graduation to their
designated seats. All candidates shall remain standing and sit on the signal
of the senior marshal.

• CvSU President, guest of honor, members of BOR, and vice presidents
shall be seated at the designated place on the stage. Administrative Council
members shall occupy the seats on the left side of the stage.
College/campus registrars, faculty and staff and graduation committee
members shall occupy the designated seats. The Junior Marshal shall be
their guide.

• The readers shall be seated near the right side of the stage (when facing
the stage) while voice talent shall be seated on the left side of the stage
(when facing the stage) near the sound system operators.

• Companions of candidates for graduation with honors shall be seated on


the designated seats.

D. CALL TO ORDER

• The Senior University Marshal walks to the main rostrum and taps the
gavel once. Upon the signal of his hand, the student shall sit for about 5
seconds.

• After 5 seconds, the Senior Marshal taps the gavel three times (3x) to open
the commencement exercises. With this command, everybody shall stand.

E. ENTRY OF COLORS, INVOCATION, SINGING OF NATIONAL ANTHEM


AND HIMNO DE CAVITE*

• University Color bearers in gala uniform (white) shall march and proceed to
the stage holding the flag. Invocation, National Anthem, and Cavite Hymn
shall be sung loudly and solemnly. The flags shall then be positioned in
their proper places in the stage.

F. PRESENTATION OF CANDIDATES FOR GRADUATION

• The University Registrar at the right (when facing the stage) rostrum shall
present to the University President the candidates for graduation. The
candidates shall remain standing until conferment of their respective
degrees by the University President.

G. PAJAH CEREMONY AND CONFERMENT OF DEGREES

• After the presentation of the candidates for graduation, the “Ang Pajah ng
Cavite State University” poem will be played. While being played,
candidates for graduation shall place their right hand on their left chest
holding the tassel.

• While the University President is declaring “By virtue of the power vested
upon me by the Board of Regents…” the candidates will insert the tassel
in the gold band of the Pajah.

• When the University President mentions “…graduates” in the statement


“…I now declare you graduates…”, all candidates shall close the button
of the tassel simultaneously upon hearing the word graduates.

H. COMMENCEMENT ADDRESS

• Before and after the speech of the Commencement Speaker, the Senior
Marshal shall signal to the graduates to stand for courtesy.

• The commencement speaker will address the graduates after the


introduction.

I. AWARDING OF THE PLAQUE OF APPRECIATION

• The Junior Marshal shall read the citation of the Plaque of Appreciation.
The University President shall award the plaque to the Commencement
Speaker. This shall be done by projecting the plaque of appreciation in the
LED screen.

J. DISTRIBUTION OF DIPLOMA AND MEDALS TO THE GRADUATES

• The college/campus registrar shall direct the graduates with the help of the
ushers/usherettes to approach to the right side of the stage (when facing
the stage). Designated presenter shall read the names (first name, middle
initial, last name) of the graduates by program with an interval of 3 - 5
seconds. The dissertation title and adviser's name shall also be read for
the graduates with dissertation.

• The presidential table guests shall remain seated during the distribution of
diploma and awarding of medals.

• The graduates shall get their diploma jackets on the provided table before
they go up the stage. Medals for honor graduates will be handed to the
parent/guardian prior to coming on stage.

• As sign of courtesy, all graduates and their parents/guardians will take a


graceful glance to the guests on the stage before proceeding to the center.
They shall take a courtesy bow at the center of the stage with their diploma.

• Shaking hands with anyone shall be avoided to follow the minimum health
protocols. Other faculty members, guests, companion of graduates, staff,
and other guests shall remain seated during the distribution of diplomas.

K. PLEDGE OF LOYALTY

• All graduates, to be led by a representative (with highest GPA) from the


graduating class, shall recite the Pledge of Loyalty (to be flashed on the
screen) loudly and clearly.

L. INDUCTION OF THE GRADUATES TO THE CvSU ALUMNI


ASSOCIATION

• Graduates shall stand and recite aloud the Oath of Loyalty, repeating the
phrases after the CvSU Alumni Regent

M. SINGING OF THE CvSU HYMN

• Everybody shall remain standing and sing the CvSU Hymn.

N. RECESSIONAL

• The Senior Marshal taps the gavel three times to close the program.
Everybody stands. Senior Marshal shall announce the closing of the
ceremonies then taps the gavel once.

• The University Color bearers shall exit first to be followed by the senior
marshal. The graduates shall remain standing until the Guest Speaker,
members of the BOR, University officials, faculty members, and employees
have left the graduation venue.

• On the signal of the junior marshal, graduates and parents/guardians shall


join the recessional march afterwards.

O. IMPORTANT REMINDERS

1. Candidates for graduation shall wear their Pajah for the entire graduation
rites.

2. Proper dress code shall be checked by the college/campus registrars with


the assistance of program facilitators before allowing candidates for
graduation to join the processional.

3. Female candidates shall wear:


3.1. Dress Color: Beige/Cream/Ecru
3.2. Dress Style: Preferably with sleeves or if sleeveless, worn with
shawl or bolero.
3.3. Dress Length: Any length starting from below the knee, down
to the ankle.
3.4. Shoes: Black leather shoes (closed)
3.5. Jewellery: Preferably earrings and small necklace only

4. Male candidates shall wear:


4.1. Barong Tagalog Top Color: Beige/Cream/Ecru
4.2. Pants: Black/Dark appropriate for Barong
4.3. Shoes and Socks: Black leather shoes, black socks

5. The program tassel should not be inserted to the Pajah prior to the
conferment.

6. Members of the BOR and the Administrative Council, faculty members, and
employees who are graduates of Cavite State University shall wear Pajah
based on the designated color and style (please see attached Pajah
guidelines or photos).

7. Faculty members who are not graduates of CvSU shall wear the prescribed
academic gown/sash of their respective programs and institution where
they graduated. Those who prefer to wear sablay/academic sash shall be

in ecru colored dress/barong. Members of the non-academic staff should
be in semi-formal attire.

8. No corsage, lei and gifts shall be given to the graduates during the actual
rites. They may receive these after the ceremonies. This should be checked
by the college/campus registrar before the candidates for graduation are
allowed to receive their diploma.

9. Companion of the candidates for graduation with honors will occupy the
seats reserved for them. Only one (1) companion will be allowed per
graduate inside the graduation venue.

10. Companion of the candidates for graduation shall wear formal or semi-
formal dress.

11. Other family members and relatives of the graduates shall be allowed in the
University premises but not inside the graduation venue. Candidates for
graduation shall advise their friends and relatives accordingly to stay in their
designated place to observe orderliness in the University all throughout the
event.

12. Only the designated official photographer (in appropriate attire) shall be
allowed to take photos during the ceremonies.

13. Firecrackers, poppers, firearms, and deadly weapons are prohibited during
the ceremonies.

14. Everyone shall observe solemnity of the Commencement Exercises.

15. As a sign of courtesy to the graduate whose name would be called last,
those who have finished their turn shall stay in the venue until the end of
the ceremonies. Applauding each graduate while being called is highly
encouraged.

16. Everybody shall be on time for the procession. Late comers will not be
allowed to enter the venue.

17. The Medical Team shall be visible and always be ready to respond to
emergencies during the rehearsals and commencement exercises. They
shall remain at their post in the lobby of CvSU ICON throughout the event.

18. The University Security Force shall always be on the alert during rehearsals
and the commencement exercises.

19. Candidates for graduation are not allowed to bring bags, bottled water, fan
or any paraphernalia inside the graduation venue.

20. Cellphones are allowed to be brought at the venue provided they are in
silent mode. Taking of photos and videos are prohibited during the
ceremony.
