• ADDITIONAL WORK HOURS POLICY

Introduction

This Policy Note sets out the existing arrangements to compensate employees who volunteer,
with their line manager’s approval, to work extra hours to meet a business need. Approval is
subject to applicable Laws.

Action required

This Policy Note should be briefed at team meetings to ensure all employees are clear about the
arrangements and how they work. It must also be briefed to new recruits joining a team.

Coverage

Who is covered by this policy?

This Additional Hour policy applies to employees in operations/technology up to the level of Band 5. Support
teams do not fall under the purview of this policy.

Policy Features

This policy is effective November 2018.

Overtime is calculated based on the following formula:

Overtime = Monthly Gross x 2 x No. of OT hours / 176

Maharashtra State employees (Pune & Mumbai):

➢ The limit of hours of work for the purpose of calculating overtime is 9 hours in any day and 48
hours in any week.
➢ Overtime should not exceed 125 hours per quarter (calendar year).
➢ Interval for rest of at least 1 hour for continuous work up to 5 hours.
➢ Spread over (work start and end time) in a day should not exceed 12 hours.
➢ Total Overtime hours during a day / Week / month will be applicable as per Maharashtra
Shops and Establishment Act, 1948.
➢ Respective Line Managers to track the overtime hours for their respective team members in line
with the policy.

Karnataka State employees (Bengaluru):


➢ The limit of hours of work for the purpose of calculating overtime is 9 hours in any day and 48
hours in any week.
➢ Overtime should not exceed 50 hours per quarter (calendar year).
➢ Interval for rest of at least 1 hour for continuous work up to 5 hours.
➢ Spread over (work start and end time) in a day should not exceed 12 hours.
➢ Total Overtime hours during a day / Week / month will be applicable as per Karnataka Shops &
Commercial Establishments Act, 1961.
➢ Line Managers to track the overtime hours for their respective team members in line with the
policy.

Manager should ensure to upload OT details and approve on AMS as per payroll cycle before the cut-off
date to ensure pay-out in the current month.

Any violation to the above rules will be termed as non- compliance and appropriate action will be taken,
no additional pay out (beyond the defined statutory hours) will be made.

Exceptions

As per the business requirements, if the spread over hours extends beyond the limits prescribed in the
Shop and establishment act or as per the policy, then business should seek Functional and Finance
Director approval with appropriate justification for the extended overtime hours. Offline Input will be sent
to Payroll team through e-mail with relevant approval for necessary payouts.
