Question 1
Explain the importance of establishing a formal system and process to support continuous
improvement. Provide two examples of systems and processes used in continuous
improvement when discussing your answer.

Establishing a formal system and process to support continuous improvement is important so that the
organisation can eliminate non-value added activities, wastes, expenses and improve the overall process. This
will also help employees focus on vital processes and activities necessary to achieve the organisation’s goals
and objectives.
An Example of a continuous improvement system is an established quality management system. This set
guidelines for the overall direction of the organisation in terms of quality management. This includes
production, manufacturing processes, maintenance, engineering and even administration processes that
affect the purpose and goals set by the management system.
A process improvement system is also a very good example to tackle. This focuses on improving processes
that may have a large effect on the organisation's overall efficiency; it may be on material, process,
man-power, electricity or waste generation. Having a continuous improvement system tackling these issues
will help the organisation generate more profit, reduce waste and simplify the process by eliminating
non-value adding activities.

The most common problem-solving process or decision-making process used by organisations is the 8D
methodology. This uses 8-discipline principles outlined below.
1. Planning and creating a cross-functional team that have the expertise needed to resolve the problem
at hand.
2. Defining the problem and issues that need to be resolved.
3. Implementing a reactive and/or corrective action to quickly mitigate any issues or defects coming
from the process.
4. Identifying the root cause of the problem and choosing the appropriate solutions for it.
5. Confirming that the chosen solution/s fixed the problem. A trial run can be done to confirm this.
6. Once the chosen solution is confirmed to be effective, a full implementation of the chosen solution on
the process will be put in place.
7. Creation of procedures or revision of control plans, PFMEA and other relevant documents will be done
to ensure that reoccurrence of the same problem is prevented.
8. Recognition of the cross-functional team responsible for the resolution of the problem will be done.
