OVERVIEW

Good day!
Welcome to Module 7. This module is about organizing sports events for
a target health/fitness issues and concerns. This will help you on how to
organize sports event and be exposed to different committee involved and

their work description.

This module has one (1) lesson:

 Lesson 1- Organizing Sports Events

At the end of this module, you are expected to:

Organizing Sports Event


Management is the art of accomplishing tasks by directing others to achieve
predetermined goals by coordinating and integrating resources. According to DeSensi et.al
(2003) Sport Management involves to planning, organizing, directing, controlling, budgeting,
leading, and evaluating whose output is related to services like sport or physical activity.
There are Five (5) Basic Functions of Management, namely:
1. Planning – develops the vision, mission, and the objectives. It includes the strategic
plan of the organisation as well.
2. Organizing- this involves creating an organizational structure then divide the work
according to a certain delegation, department, and informal structures.
3. Staffing- this includes recruiting, screening, hiring, training, and maintaining
competent and qualified staff.
4. Directing- this includes leadership, communication, motivation, discipline, decision
making and problems solving.
5. Controlling- establishing standards to measure a result.

Event Director - responsible for the overall planning, selecting and providing guidance to the
management team for the success of the event.
Programme Coordinator- responsible in scheduling every activity of the event.
Venue Coordinator- making sure that the venue is ready.
Equipment Coordinator- securing all the equipment to be used during the event.
Promotions Coordinator- selling or promoting the event to attract participants and sponsors
using social media. Responsible also for making the sponsors to be well-pleased with
publicity.
Officials Coordinator- ensuring that there are officials in every event. Also responsible for
training of officials if needed.
Hospitality Coordinator- ensuring that the participants and guests are comfortable .The VIPs
should be well accommodated. This includes food and drinks.
Merchandising Coordinator- Organizes on purchasing and reselling of items for the profit of
the organization.
Here are some ways you may consider on how to plan and organize sports event.
1. Get Organized
 You should write down the details of the event (e.g. What is the event for? What is
the purpose of the event? How much is the budget of the event? )
2. Select Dates
 Make sure that the dates chosen will not be conflict with the other events in your
area.
3. Choose a Venue
 Make sure first that you have the permission to conduct the event. In choosing a
venue, don’t just settle for less payment but you should consider its convenience,
parking places, public transport and the space.
4. Determine Sport Event Style
 Consider the type of event you want to host (e.g. how many individuals or teams
needed? Will it be a tournament, a league or a one-off match? Will you include
multiple sports or single sport?)
5. Plan Supplies
 Make a list of the supplies you needed like scorecards, certificates, posters, whistles,
medals, awards and etc.
6. Insurance
 You should get public liability insurance for the event to help you pay damages
relating to accidental damages or body injuries.
7. Health and Safety
 Make sure that all of you follow the health and safety measures for the protection of
everyone
8. Assemble Staffs/ volunteers
 Determine the number of staffs needed.
9. Start selling tickets
 You can promote your event by selling sport tickets.

10. Promote your sports events
 You may advertise the tournament using social media or paid advertisement if you
have much budget.
11. Reserve Officials and Referees
 Look for them at least a couple of months before the event.
12. Reach out to participants
 Send them the details of the event including the rules and regulation of the
tournament, the timetable of the day, date, time and location.
13. Review the Plan
 Review the committees and assign them ahead of time making sure that they knew
about their roles.
14. Invite local press
 You might invite local press to show off the success of your event.

Organizing a sport event is not easy. One way to have a successful event, you have
to create an organizational structure and assign them to be one of the coordinators of the
event.
Organizing a sport event is important because it helps address health/fitness issues
and concerns. Sports are not just for fun but for fitness as well.
