You work for XYZ Pty. Ltd, a large accounting company of 150 workers spread over 4 States
(Queensland, New South Wales, Victoria and South Australia). You have been working there for
2 years and have been asked to help prepare an Agenda for a conference meeting to be held this
Monday at 10:00am. The reasons for the meeting are detailed below:
 The directors are looking at issuing all employees with new laptops / (multi-purpose)
tablets so that they can be used at work, when workers are in the field and employees can
use them at home for private use.
 There has been some discussion by staff about:
o If they have a business laptop at home management will expect work at home
o Will employees be expected to contribute towards the cost of the new machine
o Management will be able to track the movements of employees via emails and
track internet websites such as looking at employment websites.

 If they will pay- will they get payed on a double rate basis or normal rate?
 From employer’s view: if they provide us with laptop to work then they will expect us to
work from home too.

 There should be more information on what the employees expect from the management.
 More information should be provided by the employer about the pay rates of working
from home.
 Information about the hours of work must be provided too.
 If the employees do work from home; then will the hours of work be flexible (for
example: since the employee is working from home, they should be able to work flexibly
not on a continuous basis).

 It is good if they track the use of the unit as it will prevent any fraud done by the staffs.
 The employees will not use the unit for their personal purpose.
 Tracking of the unit will make it effective for the company in terms of work done by the
employee; deadlines will be met, and the outcome will be productive.

Action item:
 Management will be able to track the use of unit only if the employee is using the
company’s unit, but management will not invade any privacy
 The Unit can be used for their personal use if they want to.
 Work login will be provided while working for the company and only that login can be
tracked by the Management.

on whether issuing employees with a Laptop is a good idea or not.

PROPOSED PURCHASE OF LAPTOPS FOR EACH EMPLOYEE & PRIVATE USAGE

Discussion of Possible issues & topics includes:


1. Will company expect additional work to be undertaken at home?
Employees don’t have to do additional work when they are provided the laptop rather
they can use the laptop and work for home if they have to finish some work with in a
tight deadlines. It will not change anything; it is the company trying to service its
employees by giving the latest and fast laptop, so the work flows better.

2. Will employees be required to contribute to cost?


No employers will pay all the cost that what providing by employers to employees
means.

3. Who owns the laptop if employee contribution?


Employees own the laptop but has to pay for their repair and damage.

4. Will management track usage?


Work login will be provided so there will not be any problem regarding the privacy.

5. Insurance
They will be insured by the Company.

6. What will be the overall policy for usage by employees?
It is similar as the employees have their own laptop.

Providing laptop to all the employees from work is really a good idea because of following:

 They can use the laptop to finish their pending work working from home, if they have
tight deadlines.

 Employees will not have any problem working as they are provided with new and latest
laptops. Usually employees’ personal laptops will not be as new as the company can
provide which may bring some problems such as getting slow, not opening the file
properly, cannot load high and big files and so on.

 They can be able to use it personally. Laptop provided by company will be latest and
fastest which employees can take the benefits while using personally.

 Giving the laptops to employees will keep the employees happy as it is one of the
benefits they are provided.
