MINUTES OF THE EXECUTIVE COMMITTEE MEETING

Minutes

The Presiding Officer, Mrs. Tita G. Garrido, called the weekly Execom
meeting to order at 8:36AM. Mr. Romar Ramos led the opening prayer. He then
shared a few words of wisdom stating that we should “work in silence and let our
success make noise”. Mr. Ramos then proceeded with the reading of the minutes
of the previous July 15 meeting.
The following transpired as the Presiding Officer made comments on the
following prior to the agenda for the day:

1. The Presiding Officer expressed appreciation on the module distribution


scheme that was promulgated.
2. Mrs. Roxell Abarrientos was asked to draft the summer dropping of subjects
policy which will be inserted when handbook revision will be underway; and
that students must be informed of this even beforehand.

3. On the matter of the safety seal compliance, it was relayed that the unveiling
of the Basic Ed safety seal was scheduled on August 5. Respective in-charge
must do necessary preparations as needed.

- Alongside this, the CHED Safety Seal compliance was also taken up.
When the matter on school clinic services was brought up because of the
Criminology Department’s requirement for its 1 st year students, it was then
agreed that this matter of medical and dental services for all students be
looked into and taken action as the new school year is approaching. The
updating and filing of student medical-dental records must be taken action;
so as with the availability of the school physician and dentist.
- The certification from the CDR and Red Cross trainings of faculty must be
followed-up, accordingly.

4. It was noted that vaccination status was not required for Basic Ed learners
while CHED strictly implements such. There was a discussion on the differing
guidelines set by these education-governing authorities.
- PHs were tasked to draft a “promissory note” for those not fully-vaccinated
college enrollees.
- It was also suggested that a memo that briefly cites relevant CHED
issuances must be in order.
- Mr. Galario pointed out that vaccination cards should be checked upon
entrance to the campus; which was the task of the security personnel.

5. The PHs were reminded of the class schedules and loading especially with
those unassigned subjects.
- Mrs. Pollentes reported on the number of chairs and the status of the
projected class room preparation. She also relayed matters pertaining to
the janitorial tasks that were already undertaken.
- The class schedule and time of use was settled especially in the use of
Basic Ed classrooms by college classes.
- Mr. Balana then suggested about making the recitation of college classes
to twice a week only with 1.5 hours per session. It was gladly accepted by
the body.
6. Homeroom Practices
- The Presiding Officer mentioned about the submitted strategic plan of the
SSB Officers and she commented that the activities proposed should
reflect the school’s values as well. The Presiding Officer also asked that
the records of SSB donations be dug-up and if it was possible to ask the
SSB for a donation of speakers for the sound system.
- Mrs. Apolinar reported that the homeroom savings from previous years as
per record was already ₱48,000. And that this shall be used to cover the
expenses for the provision of trash bins in all classrooms.
- The Presiding Officer also mentioned about including environmental care
and concern as part of homeroom values-formation.
- It was also re-stated that Mr. Arnold N. Dela Peña is designated as Sports
Coordinator.
- The concerns regarding the functionality of the TV sets and the HDMIs
along with it was taken up and it was agreed that respective in-charge of
such conduct an inventory to assess the status of the said classroom
implements.
- The Presiding Officer briefly recalled the Singaporean Math technique and
how it can help students. She expressed hope that the Math teachers
applied what they learned from the said input from the previous summer
in-service training.

7. TESDA Matters
- The Presiding Officer commented that the letters and transmittal made by
Mrs. Lacaran were delayed. She cited that proper business
correspondence guidelines must be observed especially in technical
aspects such as line and spacing. She also emphasized that Mr. Jude
Garrido would be a sort of liaison if ever documents will be forwarded to
her and in the return of such as he shall endorse the same to Mrs. Cherry
Ann Llobia.

The comments took a very long time of discussion as the minutes of the
previous meeting was moved to be adopted by Mrs. Abarrientos at 11:09AM,
seconded by Mrs. Apolinar.
Follow-ups:
1. Contingency
- The Presiding Officer enjoined respective PHs and department heads to
always prepare contingency plan in anticipation of the up-coming school year.
2. Staff training
- Admin Assistants Traning was set on July 30 while Teachers’ Training shall
be on August 4.
- The Presiding Officer suggested that written or printed materials be
accessible so that it will be easier for those who are still grappling with
acquiring necessary skills.
- The matter of conducting an orientation for Student Assistants and New
Teachers must be given attention.
- The Presiding Officer reiterated that she would like suggestions and other
relevant matters be made into writing as she no longer relies heavily on her
memory.
- It was also at this point wherein Ms. Exchaure relayed that instructors
should also be given awareness in terms of the de-loading process
undergone by students whose grade average do not meet certain standards.

3. Evaluation of Practices
- The Presiding Officer suggested that the information dissemination and
school campaign including the open house activity be assessed as to
whether it helped in the enrolment turn-out.
- Mrs. Abarrientos then inquired regarding the submission of action plan per
department.

4. The Presiding Officer asked that the PHs confer with her the classrooms to be
used by college students and the class schedule as well.

5. The Presiding Officer commented regarding the performance rating and the
positive and negative feedback from student evaluations. She set a meeting
to those concerned teachers by Tuesday of the following week.

6. The Presiding Officer ordered to give Mrs. Ermz Bacas of TechFactors an


ultimatum by August 5 or else the robotics program shall be withdrawn.

7. The Presiding Officer reiterated the procedures for procuring OJT uniforms.

8. It was agreed that Mr. Balana shall take charge of the drafting of school
advisories that will be forwarded to the School President for approval, and
after such, Mr. Galario would then be the one to post it on the GCC FB page.
9. Mrs. Abarrientos was asked to look into the matter regarding the no
scholarship offering or 1st year students for SY 2022-2023 as stated in a
CHED Memo.

10. Ms. Gonzales raised a query regarding payment refund to those fully paid
accounts and with no standing obligation. It was agreed that those amounting
to ₱3,000 and above will be given a refund while those below ₱2,000 shall be
forwarded and charged as entrance. And that this should only be scheduled
once a month.

No other concerns were raised and the meeting was adjourned at


12:17NN with a prayer led by Mr. Ramos.
