MINUTES OF THE EXECUTIVE COMMITTEE MEETING


February 4, 2022; 8:30 AM, Google Meet

Minutes
Mrs. Garrido called the weekly Execom Meeting to order at 8:30AM.It was
Mrs. Dela Rama’s turn to lead the opening prayer. Afterwards she shared about
a quote on “the heart of worship”. Mrs. dela Rama then read the minutes of the
previous meeting; after Mr. Balana gave a comment regarding the minutes, it
was then moved to be adopted and was approved.
These follow-ups were made as follows:
a.) Mrs. Garrido reminded the body that the 5S is an ongoing activity and that it
must be observed with or without evaluation.
b.) Prompt submission of grades was then reiterated.
c.) The Presiding Officer also reiterated the attendance monitoring of program
heads and coordinators to ensure the delivery of quality learning.
d.) Mrs. Garrido then shared about the importance of books and modules of
learners as they guide and help students in their school work.
e.) The concerns regarding the Google Meet recording was also brought out and
Mr. Galario was instructed to coordinate with Mr. Gil Garrido regarding this
matter.
f.) On the 5% TFI, it was agreed that it shall be implemented in the coming
school year. In addition, the laboratory fees shall be billed in full if limited face
to face pursues.

Current concerns
1.) Limited Face-to-Face
Mrs. Garrido inquired about the status of the limited face-to-face classes on
select laboratory classes.
Educ Dept. – ready for implementation; students have secured MDRs
BSIT – suggested for limited F2F on examination days
BS Crim – not all 1st year students are vaccinated; legitimacy concerns in
the birth certificate
BSBA – alternative activities for those OJT without MDR and are
unvaccinated

2.) Awards Committee


A recognition and awards committee was established, composed of Ms.
Exchaure, Mrs. Apolinar, and Mr. Ramos, the HR Officer.

3.) Change of Grades


There was a considerable discussion regarding the changing of grades. It
was then agreed that instructors shall release the final grades through their
respective Google Classrooms, 10 days after the final exam; students are
then given three (3) days “grace period” for complaints if any; afterwards, two
(2) days from hence (15th day after the exam), the instructor shall then submit
the grades.

4.) Monitoring of Instructors


Mrs. Garrido reiterated the need for monitoring of instructors as she stated in
the beginning of the meeting.

Departmental Concerns
a.) Mrs. Pollentes informed that the Elementary Dept. is attending on-going
webinars; she also asked permission to distribute the 2 nd cluster modules
earlier.
b.) Mrs. Oclarit informed that the Sinulog Outreach contribution was already
charged to the accounts of the students. She also raised the concern
regarding the charging of 100 pesos for the online modules. Ms. Paz
Gonzales’ attention was called for regarding this matter.
c.) Mrs. Abarrientos relayed that she has already submitted the requisition for the
tarpaulin; she also suggested that the face-to-face examination would be for
general subjects. She also mentioned the Mandatory Module Learning
required by TESDA and it was acted upon as suggested.
d.) Mr. Dagondon mentioned that the BSBA OJT is already on the roll-out.
e.) Mrs. Torres mentioned on reminding students on their actions regarding
political activities; she also informed on the schedule for payouts. She also
suggested on the use of blue books for the exam.
f.) Mrs. Rapista informed that the BSOA OJT will start by Monday that following
week.
g.) Mrs. Garrido then discussed about the importance of upholding GCCian
values in these times of the upcoming elections. Mrs. Torres suggested that
Mrs. Garrido draft a memo concerning that matter.

No other matters were raised and the meeting was adjourned at 11:04 AM
with the Oratio Imperata as Closing Prayer.
