OPEN POSITION (SINGLE ROLE)


Administrative Assistant & Event Coordinator
Reports to: Senior Manager and Owners
Type: Both full-time or part-time

R House is a social enterprise focused on achieving sustainable dog rescue in Vietnam,


through themes of sustainability, education, and community engagement.

Essential Requirements:

● Conversational fluency in English; fluency in Vietnamese


● Excellent attention to detail with ability to follow specific instructions
● High standard of communication that keeps all parties up to date
● Confidence in gathering information from internal and external stakeholders
● Good computer skills, especially with GoogleSuite (Docs, Sheets, Slides)
● Ability to perform with consistency and motivation in a rapidly evolving,
high-growth business environment
● Ideally suited for a recent graduate who can commit full time for at least one year

This role has two primary areas of responsibility:


1. Administrative Assistant - Daily; requirements across Operations, HR and Finance
2. Event Coordinator - Non-daily; routinely or uniquely set internal & external events

1. Administrative Assistant

Support Owners, Senior Manager, and Manager on daily, weekly, and monthly
administrative tasks that support the smooth operation of various business areas:

a. Organizational

i. Clearly store, organize and file essential soft and hard-copy


documentation for daily, weekly and monthly processes, such as
operational manuals, HR updates, legal filings, contracts, etc.

ii. Update current and complete new process and operational docs
based on business evolution
iii. Coordinate with manager to manage suppliers, contractors and
service providers to deliver on specific needs to our standard
iv. Support Owners in miscellaneous, urgent or emergency tasks

b. Mission-related

i. Manage all dog-related administrative items, including vetbook


tracking, Pack Memberships, and monthly dog-related spend (food,
vet visits, medicine, supplies, etc.)
ii. Maintain/update donation tracking for mission-related transparency
iii. Establish simple tracking database for new education program

c. Financial
i. Enter daily purchases, receipts, and payable into GSheets
ii. Support Accountant by keeping clear list of accounts payable
iii. Confirmany necessary E-Invoice and VAT reporting to Accountant

d. HR

i. Support Owners and Senior Manager with translating any essential


announcements and updates to team members
ii. Transferring team member work hours into GoogleSheets monthly
iii. Maintain and update simple database of HR details to support Senior
Manager in monitoring onboarding, benefits, performance reviews,
promotions, memos and disciplinary items

2. Event Coordinator

a. Support Owners in identifying external events and developing new ideas

b. Support Owners & Managers in structured event planning and development

c. Liaise with all parties involved in events to identify needs and expectations,
establish standard of communication, create plan and structure event success

d. Support in sharing event details across R Channels and Platforms

e. Work with Managers to properly execute both routine and individuals events
based on comprehensive event briefs provided by Owners

f. Follow up on events as necessary for feedback, endorsements, next steps
