ABOUT US:

Botho University was established in 1997 and has rapidly evolved over the years to become a leading multidisciplinary high
quality tertiary education provider. Botho University currently offers programmes through five faculties namely Faculty of
Business & Accounting, Faculty of Engineering And Technology, Faculty of Health and Education, Faculty of Hospitality
and Sustainable Tourism. All our programmes have been developed with inputs from industry thus our graduates are ready
to hit the ground running. We currently offer qualifications from certificate level to Master’s degree level with plans in
place for doctoral programmes to be rolled out very soon.

THE BGP INTERNSHIP PROGRAMME:

THE GOAL OF THE BGP INTERNSHIP PROGRAMME IS TWO-FOLD:

1. Give Students an appreciation of the relevance of their curriculum to the Job Market

2. Develop essential qualities in students to make them employable

THE OBJECTIVES OF INTERNSHIP IN DETAIL ARE AS FOLLOWS:

• To integrate the knowledge learned in the classrooms and laboratories with real world experiences. It is one of
the requirements for students to be able to complete their programme of study and be able to graduate. Students
undergoing the BGP Internship (hereafter referred to as the Intern) are required to spend a minimum of 4 months
undergoing practical work in a field related to the student’s area of study.

• To provide students the opportunity to test their interest and aptitude in a particular career.

• To develop skills and techniques directly applicable to their careers.

• The BGP Internship will also enable students to develop skills in the application of theory to practical work situation.

• To aid the student in adjusting from University to Full time employment.

• To provide students the opportunity to develop attitudes conducive and effective to interpersonal relationships.

• To assist in increasing an intern’s sense of responsibility and will enable the interns to acquire good working habits.

• To prepare students to enter into full time employment in their area of specialization upon graduation.

• To develop employment records/references that will enhance employment opportunities.

• The BGP Internship will provide students with an in-depth knowledge of the formal functional activities of a
participating organization.

• To provide interns the opportunity to understand formal and informal organizational interrelationships.

THE BGP INTERNSHIP
PROGRAMME STRUCTURE
Botho University will provide maximum support to the employer in ensuring effective implementation and achievement of
the goals of the internship. This will be done by means of an Internship Coordinator who is based in the Students & Alumni
Affairs Department-SAAD , The Faculty Internship Focal Person (referred to as the The Faculty Internship Focal Person)
and an Internship Tutor. From the employer’s end, apart from providing a learning environment, an Internship Supervisor
will also need to be appointed to monitor the intern during the course of the internship. Details on the expectations from
each of these roles are provided in the section below

ROLE OF THE EMPLOYER:
As potential future employers of our students we seek your partnership in the BGP Internship Programme. This is an
excellent opportunity for you to groom interns into capable managers of tomorrow by providing them with an excellent
learning environment. Botho University is confident that you will find our interns to be highly motivated individuals who
are eager to learn.

GUIDELINES FOR THE EMPLOYER


1. The BGP Internship Supervisor (henceforth referred to as the Internship Supervisor) is a person
allocated by the employer providing the Internship. She/he plays an important role in making the
Internship meaningful and effective. In cases of Virtual Internships, this can also be a representative from
the company facilitating the Virtual Internships.

2. The Internship Supervisor is advised to provide the Interns with a clear job description and expectations
from the role. It is also recommended that the Intern is educated about any company policies regarding
confidentiality and security prior to starting the Internship.

3. Each Intern is assigned a BGP Internship Tutor (henceforth referred to as the Internship Tutor) from
Botho University. The Internship tutor will be communicating with the Internship supervisor regularly to
maintain progress of the interns and resolve issues if any.

4. It is recommended that the Internship Supervisor in collaboration with the intern prepare a detailed work
plan for the duration of the Internship and share a copy of this with the BGP Internship Tutor.

5. The Internship Supervisor is advised to be in regular communication with the Internship Tutor during the
course of the Internship. The form of communication can be agreed in advance between the Internship
Supervisor and the Internship Tutor. Contact details of the Internship Tutor assigned to the Intern will be
provided to the Internship Supervisor and vice versa.

6. During the Internship period, the Internship Tutor will set up at least one meeting (physical or Virtual)
with the Internship Supervisor at their mutual convenience.

7. The Internship Supervisor will be expected to sign the BGP Internship Tutor Visit Form whenever the
Internship Tutor makes a visit to the Intern’s location of Internship. This is for the Internship Tutor’s
record purposes. This will not be applicable for Virtual Internships.

8. The Internship Supervisor should notify the Internship Tutor immediately in writing so that appropriate
actions can be taken if the Intern does not perform well or his/her performance does not meet the
employer’s standard. A grievance handling form provided in the Internship Booklet should be filled,
scanned and shared with the Internship Tutor via email within 7 days of observation. Appropriate action
will be taken against the Intern by Botho University as per the guidelines given in the Student Handbook.
The Internship Supervisor and the employer will be informed by the Internship Tutor and the Internship
Coordinator respectively on the progress.In case of Virtual Internships that are being facilitated by a
company, the grievance shall be submitted by the company representative on behalf of the employer to either

the Dean of the Faculty or the Student and Alumni Affairs Department depending on who the contact person
has been at Botho University. It is then the responsibility of these people to take it up following the correct
procedure to handle such matters at Botho University.

9. The Internship Supervisor should complete and sign the final evaluation report (hard or soft copy are
acceptable) at the end of Internship and hand it over to the Internship Tutor through a mutually agreed
mode of communication. This report is mandatory and will be used by the Internship Tutor while marking
the Intern’s final evaluation Report.In case of Virtual Internships, this report may be provided by the
employer or a representative of the company facilitating the Virtual Internships on behalf of the employer.
All internships reports must bear the company stamp or be on an official letterhead to ensure their
legitimacy.

10. Upon mutual agreement between the employer and the intern; the intern may continue with the
internship until the end of semester. However this portion of the internship will not be assessed.

OTHER IMPORTANT NOTES FOR THE EMPLOYER

1. All Interns currently eligible for the BGP Internship Programme are students pursuing a Bachelors
Degree across all disciplines completing their 3rd year or 4th year depending on the program of study.

2. Interns that are sponsored by the government continue to receive their allowance and hence need not be
remunerated. However, if the employers wish to pay their Interns, it would be strictly between the Intern
and the employer and Botho University and any of our staff would have no involvement in the matter.

3. All our Interns on this Internship Programme are covered by Insurance for accidental death and injury.
For more information on the same, the employer may contact the Internship Coordinator at Botho
University or the Internship Supervisor may request the Internship Tutor for the details.

4. At the end of the Internship, the Internship Supervisor and/or the employer may be invited for an
internship feedback session at Botho University either in person or virtually. Attendance would be
appreciated to help improve the BGP Internship Programme and achieve intended objectives for all.

ROLE OF THE UNIVERSITY :
GUIDELINE FOR THE INTERNSHIP COORDINATOR

1. The BGP Internship Coordinator henceforth referred to as the Internship Coordinator) is a staff member within the
Students & Alumni Affairs Department- SAAD who is responsible for the administrative duties related to the BGP
internship process.

2. The Internship Coordinator is responsible for conducting the Internship Awareness Workshop and Pre-Internship
Orientation workshop with the assistance of the Faculty Internship Focal Person at the Faculty.

3. The Internship Coordinator is also responsible for providing assistance to Interns who might need intervention of any
sort while seeking Internship.

4. The Internship Coordinator compiles the Internship placement database that can be accessed by all relevant
stakeholders within the University.

GUIDELINES FOR THE FACULTY INTERNSHIP COORDINATOR

1. The Faculty Internship Coordinator (henceforth referred to as The Faculty Internship Focal Person) is an academic
staff member appointed by the faculty dean to facilitate the internship programme from the academic side. S/he is
responsible for ensuring smooth monitoring process between the University and the Employer.

2. The Faculty Internship Focal Person assigns the Internship tutor for each student, designs the monitoring plan and
oversees its implementation.

3. The Faculty Internship Focal Person consolidates feedback from the Interns and Internship Supervisors and shares it
with the relevant stakeholders within the University.

GUIDELINES FOR THE INTERNSHIP TUTOR

1. The BGP Internship Tutor (henceforth referred to as the Internship Tutor) is a faculty staff member allocated by The
Faculty Internship Focal Person to implement the Monitoring plan for the Intern.

2. The Internship tutor will be communicating with the Internship supervisor regularly to maintain progress of the interns
and resolve issues if any.

3. The Internship Tutor is advised to be in regular communication with the Internship Supervisor during the course
of the Internship. The form of communication can be agreed in advance between the Internship Supervisor and
the Internship Tutor. Contact details of the Internship Tutor assigned to the Intern will be provided to the Internship
Supervisor and vice versa.

4. It is recommended that the Internship Tutor request the Internship Supervisor to prepare a detailed work plan for the
duration of the Internship.

5. The Internship Tutor is expected to keep track of the progress of the Intern’s performance using the Weekly Log Book
Reports that are signed by the Internship Supervisor.

6. During the Internship period, the Internship Tutor will set up at least one (1), feedback meeting (either Physical Or
Virtual) with the internship Supervisor at their mutual convenience

7. The Internship Tutor is required to get the Internship Supervisor to sign the BGP Internship Tutor Visit Form whenever
the Internship Tutor makes a visit to the Intern’s location of Internship. This is for the Internship Tutor’s record purposes.

8. The Internship Tutor is the first point of contact for the Internship Supervisor so that appropriate actions can be
taken if the Intern does not perform well or his/her performance does not meet the employer’s standard. A grievance
handling form provided in the Internship Booklet should be filled, scanned and shared with the Internship Tutor via
email within 7 days of observation. Appropriate action will be taken against the Intern by Botho University as per
the guidelines given in the Student Handbook. The Internship Supervisor and the employer will be informed by the
Internship Tutor and the Internship Coordinator respectively on the progress.

9. Similarly the Internship Tutor is the first point of contact for the Intern for any issues that s/he may be facing so that
appropriate action can be taken to resolve the same.

10. The Internship Tutor will use the mandatory evaluation report signed by the Internship Supervisor for marking the
Intern’s final evaluation Report.

11. The Internship Tutor is expected to keep the The Faculty Internship Focal Person, the Dean and the Internship
-coordinator informed at all times.

GUIDELINES FOR THE BGP INTERN

1. The BGP Intern (henceforth referred to as the Intern) is a 3rd or 4th year student (depending on the program of study)
year of Botho University Student currently pursuing an undergraduate qualification.

2. The Internship duration will always be stipulated on the “Request for Internship” that can be downloaded by the
student, from their student portal.

3. Every Intern will be assigned an Internship Tutor from their Faculty. It is up to the Intern to seek information about their
Internship Tutor from the The Faculty Internship Focal Person.

4. An Internship Milestone will be reflected on the BGP internship orientation presentation, that will be shared with all
BGP interns on the Blackboard.

5. It is the Intern’s responsibility to find his/her Internship by the deadlines provided. A confirmation letter from the
employer must be submitted to the Internship Coordinator at the Students & Alumni Affairs Department by the
deadline given.

6. The Intern is responsible for facilitating regular communication with his/her Internship Tutor and submitting the
Weekly Log Book form online. Where this is not feasible, the Intern is expected to have made prior arrangements in
writing with the Internship Tutor on the accepted mode of communication.

7. The Intern is only allowed the following forms of communication with Internship Tutor – Face to Face meetings, Email,
phone and fax. SMS is NOT a valid form of communication.

8. The Intern is responsible for having at least one face to face meeting with his/her Internship Tutor every month during
the duration of the Internship. These meetings can be conducted physically/virtually as agreed with the internship
tutor

9. The Intern is responsible for sharing the contact details and facilitating communication between his/her Internship
Tutor and his/her Internship Supervisor

10. The Intern must be aware that his/her Internship Tutor will be making at least ONE onsite visits and meet his/her
Internship Supervisor during the Internship.

11. The Intern is not allowed to change his/her Internship employer after the Intern has submitted the company
confirmation letter to the Internship Coordinator at the Students & Alumni Affairs Department. Changes will strictly
not be allowed.

12. The Intern is expected to submit the final Internship Report to the Internship Tutor strictly as per the Guidelines for The
BGP Internship Report provided in this document.

13. The Intern should respect the employer’s property and maintain the order of the department and do nothing to harm
the reputation of their employer in anyway.

14. The Intern should not discuss confidential issues with anyone who is not directly involved with the Internship employer,
because business is found on mutual trust, integrity and public confidence.

15. The Intern needs to add value to the work and continually strive to improve upon the quality of his/her performance.

16. The Intern should strictly adhere to all policies and procedures of the employers.

17. The intern is expected to submit the internship a copy of the confirmation letter from the employer to the Internship
coordinator and the Internship The Faculty Internship Focal Person for their records

18. The Interns have to submit the BGP Internship Report via Turn-It-In on/before the set date.

BGP INTERNS AT AN
INTERNATIONAL LOCATION
This section is for all those BGP Interns wishing to pursue their internship at an employer based out of the country where
their campus is located. Such BGP Interns will have to inform the Internship Coordinator and the Faculty Internship Focal
Person in writing before starting the process of seeking internship. Only when approval is obtained in writing from both
these parties, should Interns proceed with seeking international internship. Both the Dean of the Faculty and the Dean
of OSSO must have all information about such Interns. The Dean of the Faculty along with the Faculty Internship Focal
Person may seek the assistance of a relevant expert at the international location to be the Internship Tutor. This Internship
Tutor will thenperform all the duties as expected as part of the BGP Internship Process. The BGP Intern will be expected
to follow all therules and regulations as all other BGP Interns.

GUIDELINES FOR GRIEVANCE
HANDLING DURING
BGP INTERNSHIP
Note: Please refer to Page 6, Figure 1, to understand the important BGP Roles and
their mutual relationships

The diagram seeks to remind everyone of the various stakeholders in the BGP Internship. In case of any grievances
during the BGP Internship Process, all these major stakeholders namely, the Intern, the Internship Tutor, the The Faculty
Internship Focal Person, the Internship Supervisor and the Internship Coordinator are expected to follow the guidelines
given below. It must be stated that whatever the grievance may be, the first point of contact at each stage will attempt to
close the matter amicably amongst themselves. Failure to resolve the grievance in this manner will then result in it being
escalated appropriately It must also be emphasized that all students are bound by the Student Handbook and all Staff are
bound by the Staff Handbook of Botho University. The Internship Supervisor may be bound by the rules and regulations of
their employer.

SCENARIO 1: INTERN HAS A GRIEVANCE WITH THE INTERNSHIP SUPERVISOR

• Intern is required to communicate the grievance to the Internship Tutor in writing.

• The Internship Tutor, depending on the gravity of the grievance, will attempt to resolve the issue amicably amongst
themselves.

• If the grievance is not resolved, the Internship Tutor will escalate the matter to the The Faculty Internship Focal Person
in writing.

• The Faculty Internship Focal Person depending on the gravity of the grievance, will attempt to resolve the issue
amicably amongst themselves.

• If the grievance is not resolved, then the The Faculty Internship Focal Person will escalate it to the respective Dean
of the Faculty. At this point, the The Faculty Internship Focal Person is also required to formally inform the Internships
Coordinator about the grievance in writing.

• The Dean of the Faculty depending on the gravity of the grievance, will attempt to resolve the issue amicably amongst
themselves.

• If the matter is not resolved at this stage, then the Dean of the Faculty is required to escalate the matter to the Dean -
OSSO who will be the final authority on the matter.

SCENARIO 2: INTERN HAS A GRIEVANCE WITH THE INTERNSHIP TUTOR

• Intern is required to communicate the grievance to the Faculty Focal Person in writing.

• The Faculty Internship Focal Person depending on the gravity of the grievance, will attempt to resolve the issue
amicably amongst themselves.

• If the grievance is not resolved, then the The Faculty Internship Focal Person will escalate the matter to the Dean of
the Faculty. At this point, the The Faculty Internship Focal Person is also required to formally inform the Internships
Coordinator about the grievance in writing.

• If the grievance is not resolved, then the Internship Module Leader will escalate the matter to the Dean of the Faculty.
At this point, the Internship Module Leader is also required to formally inform the Internships Coordinator about the
grievance in writing.

• The Dean of the Faculty depending on the gravity of the grievance, will attempt to resolve the issue amicably amongst
themselves.

• If the matter is not resolved at this stage and where necessary, the Dean of the Faculty will initiate a disciplinary
process as per the Staff Handbook of Botho University against the Internship Tutor. At this point, the Dean of the
Faculty is required to formally inform Dean - OSSO about the grievance in writing.

• The result of the disciplinary process against the Internship Tutor and/or any relevant communication or apology to
the Intern will then be handled by the The Faculty Internship Focal Person.

SCENARIO 3: INTERNSHIP SUPERVISOR HAS A GRIEVANCE WITH THE INTERN

• The Internship Supervisor is required to communicate the grievance to the Internship Tutor in writing.

• The Internship Tutor, depending on the gravity of the grievance, will attempt to resolve the issue amicably amongst
themselves.

• If the grievance is not resolved, the Internship Tutor will escalate the matter to the The Faculty Internship Focal
Person in writing.

• The Faculty Internship Focal Person depending on the gravity of the grievance, will attempt to resolve the issue
amicably amongst themselves

• The Faculty Internship Focal Person depending on the gravity of the grievance, will attempt to resolve the issue
amicably amongst themselves

• If the grievance is not resolved, then the Internship Module Leader will escalate the matter to the Dean of the Faculty.
At this point, the The Faculty Internship Focal Person is also required to formally inform the Internships Coordinator
about the grievance.

• The Dean of the Faculty depending on the gravity of the grievance, will attempt to resolve the issue amicably amongst
themselves.

• If the matter is not resolved at this stage and where necessary, the Dean of the Faculty will initiate a disciplinary
process as per the Student Handbook of Botho University against the Intern. At this point, the Dean of the Faculty is
required to formally inform Dean - OSSO about the grievance in writing.

• The result of the disciplinary process against the Intern and/or any relevant communication or apology to the
Internship Supervisor will then be handled by the Dean – OSSO.

SCENARIO 4: INTERNSHIP SUPERVISOR HAS A GRIEVANCE AGAINST THE


INTERNSHIP TUTOR

• The Internship Supervisor is required to communicate any grievances to the The Faculty Internship Focal Person in
writing.

• The The Faculty Internship Focal Person depending on the gravity of the grievance, will attempt to resolve the issue
amicably amongst themselves.

• If the grievance is not resolved, then the The Faculty Internship Focal Person must escalate the matter to the Dean

At the end of the internship, the Intern is expected to submit a mandatory internship report ±5000 words to his/her Internship
tutor as per the Internship milestones provided. The internship report will be used by the internship Tutor to evaluate the
intern’s performance. NB: The structure of the report should be following the font style; Times New Roman, Font size 12,
justified alignment, Line spacing 1.5. The internship report must have the following contents:
