Project Description:

This project is to create a party to celebrate a momentous occasion of our companies 50 th


Anniversary. As the company prides its partners and culture, this glorious day will be to
celebrate not just the anniversary, but our partners contribution to the growth of our
organization over the last 50 years. A time for us to reflect, celebrate and recognize our
people & organization, while strengthen our overall culture.

Project Scope

The project team will oversee specific planning areas for the anniversary party itself. Below
are items that the project team will or will not be handling

Included:

 Venue reservation to host 50th Anniversary Party

 Invitations w/ RSVP for a total guest count

 Reserving and hiring a full-service food catering company

 Reserving and hiring an adult beverage providing company (may be included


with food catering company)

 Celebratory Cake

 Party Supplies such as decorations, tables, chairs, balloons

 Valet service reservation for parking

 DJ Reservation

Not Included:

 Reservations for travel or stay

 Recognition documents or rewards, certificates or trophies. This will be done


by leadership and c-suit executives
 Company video presentations. This will be done by leadership and c-suit
executives

 Other items beyond the scope of what is listed in the included section of this
document

Project Objectives

The project must be completed and exercised on 10/1/2023, day of company 50 th


anniversary; while staying in budget of $20,000. The project will work to strengthen
company culture, which can be observed via partner surveys. The project will enable
partner engagement and retention through collaboration, reflection and recognition; with a
goal of reducing turnover by 15% going into March of 2024.

Major Milestones

 3 site options for Venue by 7/20/23, while confirming Venue selection by 8/1/23
 Invitation design selection by 7/15/23, while sending out invitations by 8/5/23 and
confirming RSVP by/before 8/25/23.
 3 Food & Beverage options by 8/25/23, while confirming Food & Beverage selection
by 9/1/23.

Project Assumptions

 We assume that all RSVP’s will be returned on time to account for food & beverage
cost and to ensure we have enough seating within the venue.

 We assume management & executive leaders will provide reward & recognition
items, video presentations and agenda for the party.

 We assume that we will provide a limitation on adult beverages per person over the
legal drinking age.

Project Constraints

 Weather at this time of year can impact an outdoor venue and would be best to host
at an indoor location, with stage and electronic equipment.

 Permits or licenses may prohibit the serving of alcohol from our vendor of choice and
we may need to look to see if the venue site we select provides or serves adult
beverages.

 Location for the venue must be in a midway point from the 2 offices to ensure
reasonable travel. This may limit selection of venue sites offered.
