Meeting Notice for the Technical Working Group (TWG) for the Upcoming
Graduation Ceremony
To: Members of the Technical Working Group (TWG)

1. This is to inform the field regarding the roles and responsibilities of the Technical
Working Group (TWG) for the upcoming Graduation Ceremony. The success of
this event relies significantly on your dedication and expertise in ensuring the
smooth execution of all technical aspects.

2. The objectives of the said activity are the following:

a. Review of Roles and Responsibilities: We will revisit the roles and

responsibilities of each TWG member and discuss any clarifications or
modifications required.

b. Equipment and Setup: An overview of the equipment required for the

ceremony and the setup plan will be discussed. We will ensure that all
technical equipment is in good working order.

c. Live Streaming and Online Presence: We'll talk about the live streaming
setup, the platform we'll be using, and preparations for an online
audience.

d. Ceremony Flow: Review the schedule of events during the Graduation

Ceremony, confirm the order and timing of speeches, music, and
multimedia presentations, and address any timing-related concerns.

e. Emergency Preparedness: Discuss and finalize the contingency plan for

addressing unexpected technical issues during the event.

f. Technical Support Teams: Assign responsibilities for team members who

will be available during the event to provide technical support and
troubleshoot any issues.

g. Communication and Coordination: Emphasize the importance of effective

communication within the TWG and with other event committees, such as
the Program Committee and Decoration Committee.

h. Open Discussion: Allow for open discussion and questions regarding any
aspect of the technical preparations.

3. The Participants to this are Heads of different Departments, TWG members

Headed by Mr. Chester Naguit (Committee Chairman) and all other concerns.

4. The participants to this activity are the TWG of the upcoming Graduation
ceremony which will be held on June 23, 2022.

5. Immediate dissemination and compliance with the Memorandum are desired.
