MINUTES OF THE MEETING OF THE STUDENT WELFARE SOCIETY

October 15, 2021

A special session for the upcoming webinar entitled, “Coping in this New Normal: A
Webinar for Students” of the Student Welfare Society was held on Friday, October
15, 2021, at 11:40 AM at Cebu City via MS Teams. The President chaired and both
President and Secretary were present. Everyone was present with no tardiness by
the time the Secretary called the roll. The minutes of the last meeting were read
and approved as corrected.

The Treasurer reported that the budget allocation for the webinar was Php 3000.00.
The Treasurer already received the receipt of a bill for the speakers’ honoraria. The
remaining budget for the webinar is PHP 1500.00. The report was approved and
adopted.

All committee reports followed.

The Registration Committee Head, Mr. Jestopher Dela Torre, reported that he has
already created the webinar registration forms so that participants can get or be
notified of the link for the MS teams. The committee head sought clarification on
the matter of inclusion. Mr. Diacosta, Program and Technical Committee Head,
moved that the webinar be free for every student in the “spirit of the organization’s
goals”. It was duly seconded. Discussions on the floor were laid out by Mr. Dacosta
and Mr. Pastor. After which a vote for the approval of the motion was done. By
unanimous consent, the motion was agreed to and adopted.

Ms. Keitheia Auresse Quidlat, the Head of the Networking Committee reported the
body regarding her findings pertaining to her investigation and report on suitable
webinar speakers and sponsors. The first sponsor was NutriStore, which offered a
5% discount to all Teknoys who will avail their products. Second sponsor,
SchoolTingz, a school supply store, offered to give 1 planner, 2 pen organizers, and
3 sets of highlighters that will serve as the raffle prizes. The appointed speakers
were Ms. Jane dela Cruz, Mr. Michael Gomez, and Ms. Laura Tan, who suggested
that the topics should be Time Management Strategies, and Importance of
Connection with Others. Mr. Dela Torre suggested finding an additional sponsor that
can offer relaxation to students. The report was then approved and adopted after
said suggestions.

Mr. Edgar Brian Pastor, the Head of Public and Relations Committee, reported the
current participants of the webinar campaign, which exceeded the allocated
requirements of students to participate and it is expected that most of them to
flow-in voluntarily. The committee head stated that students were attentive to the
activities and guidelines. Promotion of the values and other services of the webinar
will be tackled further on. The report was discussed further. After discussions, it was
approved by majority agreement.

The Program and Technical Committee, reported through its head Mr. Diacosta
which after debate was approved as follows: “that the host of the webinar is the
head of the mentioned committee and the president itself. The main platform for
the event is MS teams and it will also be broadcasted via Facebook Live. A dry run
will be conducted on October 29, 2021 (Friday).” A motion was put forth by Ms.
Quidlat but proved unsuccessful following no second. It was denied and no further
debate was needed. A vote on the report followed and the majority agreed and
accepted the report.

The agenda of the session was met and fulfilled. No discussion outside of the set
agenda was presented or heard. The Treasurer moved the session’s adjournment
and was duly seconded. The President then recognized the vote and subsequently
adjourned the special session.

The meeting adjourned at 11:53 AM.
