INVITATION

1. Definition of Invitation

Invitation is a formal request for an individual to attend or be present for an


event, dinner, celebration, or formal occasion. Examples of invitation in sentence: “We
sent out more than 100 invitations for the party.”

2. General Function of Invitation

The function of Invitation is to invite people to attend an important


meeting/event. For example like the latest example of formal invitation, its function is to
invite Tiara Swastika to attend the launching and review session for the new Smart TV by
PT Kencana Sukma.

3. Types of Invitation

There are 2 types of Invitation, which are:

Formal Invitation Letter Informal Invitation Letter


Which is an invitation to such a formal Which is an invitation to such an informal

The structure of Invitation Letter are:

1. Invitee
Is the first part of invitation. Invitee (receiver) is a part that consists the targets
who is invited

2. Body
Is a contents of the invitations. It usually consists;

- Subject

- Invitation statement

- Invitation detail

- Closure

3. Inviter
Is a part that consists who is the inviter.

The following are language features of a formal invitation:

- Use single sentences

- Use the simple present tense

Formal invitation wording often incorporates phrases, such as:

- You are cordially invites to…

- The honor of your presence is requested…

- … request the pleasure of…

RESPONSE (RSVP) CARD

1. Definition of RSVP Card

When receiving an invitation or letter that says ‘RSVP’ you are expected to
respond as the whether or not you plan on attending the event the invitation and/or letter
speaks of.

The origin of RSVP comes from the French phrase, ‘Respondez s’il vous plait’
and means ‘please respond’

The proper way to decline an RSVP is with a letter saying, “I regret to inform
you I must decline.” And/or ‘RSVP, regrets only.’ This is highly recommended for doing
if you don’t plan on attending the event. Most commonly an unanswered RSVP is
considered to be a simpe way of accepting. Sending your regrets is the only true way to
stop confusion if you don’t plan on attending.

2. General Function of RSVP Card

RSVP card usually included in an invitation, and the invitee should return it to
the person who invites him/her, to confirm his/her presence/attendance. Another way to
let the invitee respond to and invitation is by writing ‘Regrets only’.

So we can conclude that, the function of RSVP Card is to confirm the invitee’s
presence/attendance in the event.

3. RSVP in Text Conversations

Example 1:

You receive a beautiful wedding invitation in the mail and after opening it, you see that it
says, ‘Please RSVP’. Many will do this for weddings and large catered events to ensure
they have plenty of food for everyone coming and if you don’t respond back with yes,
more than likely you won’t be welcomed at said event.

Example 2:

Diana : Hey, did you send June an RSVP?

Agus : No, I changed my mind

Diana : Me too, but I still said I was going

Agus : Well sound like you have to go

1. Writing Invitation Letter

Formal invitation is written for various reasons. It can be social or business


events. A standard formal invitation consists of the following features:

a. Opening

Consists the host and invitee. Example:

To: Mr. Sanjaya The invitee

b. Contents

Consists of several information related to the event. Example:

You are cordially invited to the new grand


opening of our news bulding and office.

c. Closing

Consists of additional information regarding the invitation and the sender or the one who
has approved the invitation. Example:

d. Additional Information

1. RSVP

Invitation with this additional information attached requests the invitee to


confirm their attendace to the events.

2. Dresscode/Attire

It requests the invitee to dress in a certain way.

3. Bring certain items or the invitation

It requests the invitee to bring certain items or the invitation to the event.

2. Responding Invitations

The sentences “I would like to invite you to participate.” and “We would like
you to join the contest.” are used to invite someone to join a certain activity or parcipate
in an event. The sentence “Sure, I’d glad to.” is used to accept an invitation. Meanwhile,
the sentence “I don’t think I can participate.” is used to decline an invitation.
