1.0 INTRODUCTION

• Company’s Background

The name of our business is YARA Scarves. YARA Scarves has been establish in
2019 and a 100% Bumiputera-owned Company that run business based on hijabs. The idea
of creating the business’s name came from the owner of the company itself as YARA because
the owner came to Taman Rama-Rama and then saw a species named YARA, then she thinks
that name suitable for our company. ‘ Scarves ‘ is another name for hijab, so that we put that
name with YARA and complete as YARA Scarves.

The main reason why we choose to run a hijabs because of the high demand in the
market. Other than that, we want to provide the latest hijabs and shawls among women in
Dungun, who wear hijab currently including accessories. The proposed business location is
opened in Dungun, Terengganu. It is located at Sura Gate, near Ria Mart Supermarket. The
business location is the strategic area as Sura Gate is the place where most of people going
around and shopping.

YARA Scarves is distinct from other fashion brands in that we choose to oversee the
entire design and production process in order to deliver the highest quality product. Some
hijabs at YARA Scarves are made in the factory and sold at reasonable costs. Because of the
high quality, some of the hijabs in this company were made by tailors and sold at a higher
price than those made at the factory. The concept store sells hijabs that is created entirely in
Malaysia. In order to introduce new brands to our clients, we will continue to open new stores
in other states. This will allow us to maintain control over our retailing and uphold our
standards.

2) Type Of Manager

Top Manager

Chief Executive Officer – Siti Nur Khadijah binti Ramli is responsible for making major
corporate choices, as well as managing a company's entire operations and resources
of the company of the YARA Scarves short and long-term strategy.

Middle Manager

General Manager – Nur Ariqah Sofia binti Mohd Yusaini is responsible for all aspects
of a business, including daily operations, administrative functions, and finances of
YARA Scarves.

Financial Manager –Nur Afrina binti Mohd Arzul is responsible to control and manage
the financial planning of the company of YARA Scarves.

Marketing Manager – Siti Aishah Bashirah binti Azli Zuhairey is responsible for
managing the promotion and positioning of a brand or the products and services that
YARA Scarves sells.

Operational Manager – Hanis Syauqina binti Mohamad Fauzian is responsible to


manage all aspects of operational planning, including sales and marketing activities
including advertising, customer service, and sales in YARA Scarves.

Administration Manager – Nur Aqilah Najihah binti Amran is responsible for managing
all administrative operations, office, and human resources planning

2.0 PLANNING

Vision

➢ YARA Scarves has a vision that is to become the most widely known and trusted over
the world and provide the best satisfied result as customer wish with high technology.

Mission

➢ The mission is to provide high-quality scarves, creative solution and great services at
a worthwhile price to achieve our client’s goals. We will do this by forming lasting
relationships with our clients while maintaining the highest level of integrity and
sustainability in all day-to-day activities. Other than that, generate growing profits
through efficient business strategies. For example, we will diligently promote our
services through many alternative websites like Instagram, Twitter, etc.

Types of Planning

3) Standing Plan

Standing plans can save our managers time because they occur frequently, so it will
be easier to learn quickly about strategies for dealing with problems in real situations. They
can also save time because employees are already familiar with procedures, policies, and
rules.

For policies, the managers make the best decisions when it comes to taking action in
a certain situation. For example, on Wednesdays, the managers and employees of YARA
Scarves must wear a specific uniform, while on other days, they are free to wear whatever
they want as long as they are neat and clean. The most important thing is that all
employees must follow the times given and time set by the managers, and all employees
must hold the phrase "customer always right," which means that employees must meet
customer demands quickly and with a good service.

Next, the procedure must be completed by following all of the recommended
procedures. For instance, when the fabric from the factory was received by hand-sewing
workers, they will turn the fabric into tidy and beautiful hijab. The managers will guarantee
that all of the hijab are tidy and beautiful enough to be sell and the employees will prepare
all of the items and place them in the boutique for customers to purchase.

The last one is rules, which must be followed by everyone in the company. YARA
Scarves has decided what is and is not permitted; for example, all employees must
collaborate and communicate well. other than that, employees are not allowed out of
working hours and lazybones while working.

4) Single Use Plan


A single-use plan is a one-time plan used for a single occasion. YARA Scarves
simply consist of three elements which are program, project and budget. For example,
on 3 November 2020, we held a large-scale in conjunction with the year-end sale in
order to boost our budget. Directly, the budget is used by the YARA Scarves
companies to improve the quality and quantity fabric. As an illustration, we purchased
high-quality fabric and we also bought the machine to help us increase the quantity of
cloth we use to produce hijabs manually.

3.0 ORGANIZING
Organizing is the process of determining the work to be completed, who will complete it,
and how the task will be managed and organized. It is also the process of arranging all
resources in an organized manner within the firm's management system.

YARA Scarves, like other businesses and organizations, is committed to ethical business
practices. It also has its own organizational chart.

The organization is divided into groups based on the work functions. The organization
starts with Ariqah as the General Manager, and there are four (4) separate functional
departments beneath her.

According to YARA Scarves' organizational chart, the company has a lofty structure. A tall
structure is essentially a type of organizational chart that is separated into multiple sections.
The organizational chart of YARA, as shown in the diagram, is divided into four sections:
strategic, executive, marketing and operational management. It represents the corporate chart
in the strategic component of the organizational hierarchy. They are the employees and those
in charge of all management. The strategic part's major duty is to have the correct tasks, goals,
performance monitoring, and important decision-making in place.

Instead, it depicts the Administration Manager, Financial Manager, Marketing Manager and
Operational Manager on the executive side of the organizational structure. The Administration
Manager's duty in this department should be to oversee all administrative, office, and human
resource planning functions. Following that, the Operational Manager is responsible for all
operational planning, including sales and marketing activities such as advertising, customer
support, and sales. Besides, Marketing Manager is responsible for managing the promotion
and positioning of a brand or the products and services that a company sells. Finally, the
Financial Manager is in charge of overseeing and managing the company's financial plans.
Finally, it has been established that YARA Scarves is a solid organization with a tall structure
that can determine the credibility of each high-ranking employee.

4.0 LOCUS OF DECISION MAKING
Prior to leading the sales marketing activities, Yara Scarves went through a decision-making
process between our leaders and our employees to identify and resolve the sales problem.
We have chosen the best alternative and idea to increase our product sales by implementing
human development remedies. The decision we have made is to maximize the sales of our
products in the meantime, in order to maximize employee performance.

BRAINSTORMING METHOD

The company Yara Scarves observed the non-programmed decision to solve the sales
problem that had occurred because our marketing plans required creativity and innovation on
the part of managers and employees to list all sensible alternatives for marketing activities in
the company. We used brainstorming techniques in our decision-making process to generate
as many creative ideas as possible. In this technique, a group of executives and employees
increase their creativity in problem-solving groups and address the problem, challenges, and
opportunities that the company has. An effective way to develop creative thinking among
employees while deciding on alternative solutions is they bring out different aspects of the
problem. There are no bad ideas as the purpose is to push creative thinking beyond the
standards.

DECISION MAKING PROCESS

During the meeting, a group of Yara Scarves employees will first identify and diagnose the
problem in the store which is a sales problem and then start the brainstorming session in which
the employees come up with as many ideas as possible, followed by some rules. The rules
and procedures will be set by the CEO Siti Nur Khadijah to generate better product sales ideas
and avoid inconsistencies in the problem, then we will evaluate the alternatives and think about
their pros and cons, the risk of the action, and how it works. The ideas were examined and
evaluated, the most interesting and practicable solutions selected and a discussion was
initiated on how the selected ideas can be combined, improved, and implemented.

ADVANTAGES OF BRAINSTORMING

Through the brainstorming technique we used in decision-making, employees can showcase


their product knowledge from the ideas that have been produced. In addition, all employees
may be able to overcome pressures in the future, not only upper, middle, and lower managers
but also workers, and are more likely to come out with a great vision in a comfortable and
supportive space. It can create a positive working environment without feeling dissatisfaction
among the employees. With many ideas generated, employees can better understand the
vision of the company and improve their critical thinking and problem-solving skills as an
individual and as a team to achieve business goals.

Yara Scarves has decided to offer its employees continuous training on the organization's
training and constant improvement activities in marketing, such as the assignments of social
media platforms, as technology is now becoming one of the most important tools of a
successful business. As a result, Yara Scarves balances maintaining high product quality for
customers and providing the best customer service by interacting effectively with them.

5.0 MOTIVATION
For YARA Scarves, the most suitable theory that we can use is Herzberg’s Two-Factor
theory. Herzberg’s Two-Factor theory is type of model which influence the workers towards
their working ways. This theory consists of hygiene and motivator factors. Lack of hygiene
factors lead to job frustration, meanwhile motivator factors give long-term positive effects in
job performance. If the workers fulfill both factors, YARA Scarves will grow up rapidly.
Motivator factors are created to reducing the hygiene factors which become the dissatisfiers
among the workers.

The workers of YARA Scarves should perform well in their work to make sure that the
company is able to achieve targets for every year. To appreciate the workers for achieving the
company’s goals, the company should prepare some benefits to all workers who show their
very best in their job performances. For example, YARA Scarves provide the workers
scholarships to further their studies if they can achieve something for the company. By doing
this, the workers have also chanced to gain their knowledge to give their very best to the
company. Herzberg’s Two-Factor theory is very compatible with this company as the workers
really need to be motivated in every workplace.

Our company use Herzberg’s Two-Factor theory is perfect to be applied in this company
because workers and managements can easily understand how it is working. Job
performances are related with personal matters. YARA Scarves’ management really work
hard to manage and use this theory practically just because we do not want our workers to
put income as their main aim, except of their abilities and consistency in works. Money is not
an ultimate reason of why people are working. As an example, it is compulsory for YARA
Scarves to raise the workers’ salaries if they show their efforts and give their very best
commitment in every company’s mission and vision. Salary and interpersonal relationship are
two things that very important to all the workers. Every worker should apply the hygiene and
motivation factors to get every chance given by the company. Everyone is struggling with
works, but these motivations will help the workers to cope with it in each time.

These factors between hygiene and motivation should be balanced to help the
employees improve their work experience well. If they keep being responsible persons, they
can enhance their knowledge in the subs they are in, and I am sure that they will achieve
something more than what they asked for. Achievement and advancement are satisfiers of
motivation factors. If the workers are responsible, the possibility of growth in their job
performance is higher. Every worker must be motivated and can also motivate others. The
workers want to be given the recognition by the managements towards their achievements to

satisfied themselves. Everyone want to be recognized and established, so they will feel their
effort is worth it.

Lastly, Herzberg’s Two-Factor theory is a theory of motivation that helps the workers in
increasing their job performance. Practicing this theory will really help the workers to enhance
their knowledge. Combination of these factors will give the motivation and job satisfaction. The
motivator factors are the top lists that people do in their work to make sure that their works
show the progress. As an addition, this theory is chosen by YARA Scarves as it really helps
the workers to cope with their job content and job context. Hygiene factors help the workers
on how to manage ourselves with the company policies and supervision. Great surroundings
bring to a good job performance.

6.0 LEADING
The leader of Yara Scarves used The Managerial Grid theory as a leadership approach.
This theory was originally developed by Robert R. Blake and Jane S. Mouton in the 1960s and
has evolved in subsequent decades. This Managerial Grid Theory is a self-assessment tool
to identify the leader’s style. It’s also to measure concern for production against concern for
people. This theory work by plotting ‘concern for production’ against ‘concern for people’ at
the grid. Using a good theory was important because we want a leader with the best style so
we can adapt with her easily and we will feel comfortable with her. It’s also will increase the
workers spirit to give the best services.

Yara Scarves leader use The Sound style which also known as Team Management style
(9,9). Team Management style is the ability to organize and coordinate a group of individuals
in order to achieve a desired outcome, goal or task. The leader uses this style because this is
the best style that can improve the company. With this style, they can focus on the tasks,
interpersonal relationship, discuss safety concerns, and also can explore improved ways of
performing tasks together between the leader and the workers. It’s because this leadership
style allows the worker to be heard and valued while focusing on production and getting the
task done. It’s also to encourage teamwork and commitment among workers.

This style will make the organization’s performance good. It’s also because the leader has
a good communicating skill with the worker and with those skills, they will earn more idea for
the company. When the worker feels comfortable with the leader, they will have a good
chemistry and the works or project will be done easily without a lot of problem. Besides that,
workers will feel very appreciated when the leader care and support them. At the same time,
when they feel appreciated, they will perform the best of their abilities and continue to grow as
professionals. At Yara Scarves, the leader gives the worker an award after they have done a
great job such as take the workers out for dinner or else that can make them happy.

This Team Management style also have their own strategies just like another leadership
styles. A good Team Management strategy is to always use worker’s skills and abilities as
efficiently as possible. Yara Scarves leader must recognize that they aren’t fully aware of every
worker’s knowledge base. Lastly, the whole point of having a team is to take advantage of the
different skills sets of each worker has.

7.0 CONTROLLING
Controlling is process through which managers regulate organizational to make them
consistent with expectations and help them to achieve predetermined standards of
performance. This process is one of the important part because it helps to ensure that all of
the process of planning, organizing and leading went successfully without any obstacles.

There are three types of control such as feedforward control, concurrent control and
feedback control. First is feedforward control. Here is where our company had been focused
at the input and anticipates some problems before it happens and will make our company be
worse. For this type of control our company focus on the raw material,money,labor,skill of our
labour and we make sure that the pre-process when making our product will be smooth. For
example, our company go to all the places where they sell different types of fabrics and we
make comparisons to make sure that we choose the most quality fabrics so that the buyers
feel satisfied when buying our products.

Second types of control that we use in our company is concurrent control. Concurrent
control is where we focus on the process of making the product like we always monitoring our
employee to make sure that they do the work carefully and if we need to do it the product
using the machine, we make sure that it will not have problem while making it.

The last type of controlling that our company use is feedback control. In this phase, we
focus more at the finishing of our product. Our employee will scan it again and make sure that
it didn’t have any broken part at our scarve.Beside that, after we sold our scarves to the
customer, we will wait for their feedback to make sure that our scarves will be enough to make
our customer feel great and if have any bad feedback from our customer we will solve it by re
-examining and making sure that nothing will damage our product when we process it.

8.0 CONCLUSION

As a conclusion of our mission, superior managerial skills are required to build/create a


business (organization). A lot of planning is required to keep our business stable. We also
know that not only is the top-level person important, but the bottom-level person is also
important to an organization. Managers need to have a lot of knowledge to run the business,
employees, and marketing. Employees must provide full support and commitment to their
manager and the company if they are to achieve the objectives of the company. We felt
satisfied after completing this business plan in our group. Lots of feedback and experience we
get when we do this. We are very happy when we can solve this project without any problem.
This project cannot be solved without our teamwork and commitment. We are always together
and we do it together sometimes we ask our Lord for help. We derive many benefits from this
project.
