High Q Training Center is committed to all health and safety policies and
procedures either inside the Institute or outsideof the training premises. Our
policy states clearly that the trainers must increase the awareness of health
and safety procedures throughout the training programmes. Our policyis
updated and reviewed regularly to stay compliant with regulations and best
practices in health and safety aspects.

HYGIENICALLY CLEAN FACILITY POLICY

The facilities must be in first-class condition at all times. Theymust be


maintained as a clean, orderly and respectable placeof business. It must
comply with all applicable legal requirements governing the operation of such
a facility, including local, state, federal or national educational and health laws
and regulations.

It is the responsibility of the Academic Director to monitor the condition of


all aspects of the facilities. Whether other staff members are assigned to
monitor the facility throughout the day or the Academic Director personally
checks conditions, the facility must have a planned processfor ensuring
quality checks of the facilities with attention paid on the items described
below.

First impressions are important. Be sure to check the outsideof the building
every day, and ensure that the outside facilities are well maintained: the
façade is clean and the outside signs are clean and visible. All lights must be in
good working order. Illuminated signs must be turned on during the
appropriate periods of darkness. The entire territory of the facility—Like the
lobby to the training Center ,the entrance of the training center and the Sign
Board is visible and clean .

The lobby/reception is your business card and therefore mustbe neat and
clean at all times. Lack of order and of cleanliness gives the customer an
immediate bad impression of the whole organization—not just of your facility,
but of theHighQTraining Center in general.

The Academic Director must ensure that public spaces are checked
periodically during the day, e.g. in the lobby/reception or adjacent lounge
areas check tables andcounters after each break to ensure that they are
clear of food and drink containers.

Deliveries (boxes, supplies) must be immediately removed from public view


and not allowed to remain in the lobby orreception area.

• Staff may not allow personal items (novels, photographs, cosmetics,


purses, etc.), their food or drink to be visible at the front desk

. • Promotional materials (brochures, leaflets, flyers) must beneatly displayed


using appropriate display stands on walls or counters. Regularly check to
ensure that all out of date materials are removed or replaced

. • Promotional posters must be maintained in good conditionand be framed


and properly mounted on walls (i.e., not tacked or scotch taped)

. • If you have a smoking area, schedule several times a day, or after each
break, to clean ashtrays and the area in general.

• The area around the vending machines must be alwaysclean.


• Bulletin boards must be in good condition and be well organized. Only
materials or messages that are appropriatefor the business may appear on
the board. You may have a student notice board if you so desire, but it must
be in an area accessible only to enrolled students, and must also be
maintained in a neat and organized manner.

• The classroom plan (student classroom assignment chart) must be


updated on a daily basis and well placed so that it iseasy for students to view

. • Plants and/or flowers make the lobby look good; ensure that they are well
cared for, appropriately displayed and thatthe area around them is clean.
Remove dead plants.

• All light fixtures and lights bulbs in ceilings and lamps mustbe in good
working order. Any defective fixtures or burned out bulbs must be replaced
immediately

. • The heating and air conditioning system must be in good working


condition. Air temperature and circulation must be maintained at an
appropriate comfort level.

Traffic Flow

In order to utilize the lobby/reception for customer acquisition purposes,


ensure that this area is not used as astaff lounge or break room. Other
provision for staff workroom/lounge should be arranged.

• Do not allow people (staff, students) to use the receptiontelephone;


instead, when necessary, allow the student or staff member to take the call
in an office.

As with the reception/lobby your facility offices send a message about your
business—its organization and professionalism. The facility must always be

general. The Academic Director is responsible for monitoringthe office space


for the following points:

Work and storage areas—desks, bookshelves, cabinets, etc.—are to be in


good repair, clean, free of dust and clutter,including unnecessary paperwork.

• All office equipment—PC’s, monitors, printers, fax machines—is


to be in good working order and clean.

• No personal items (novels, inappropriate photographs, cosmetics, purses,


etc.) food or drinks must be visible. Personalization of the office space is
allowed provided that itdoes not detract from the professional impression of
a business office.

• Office articles—pictures, furniture, equipment, etc.—are tobe arranged in a


neat and orderly manner

• Only approved (appropriate) screensavers on the computers can be


used. Remember that customers can seethe screensavers.

• Only authorized programs (i.e. appropriately licensed) maybe installed on


computers.

The Academic Director must ensure that classrooms and other teaching spaces
are checked periodically during the dayfor cleanliness and neatness.

• Furniture must be arranged in an orderly manner conduciveto a comfortable


and productive teaching/learning environment.

• The bulletin board is to be well organized and contain onlymessages and


material appropriate for the tech room. The tech room must be neat and
clean at all times

. • Computers must be in good working order at all times andalways ready for
the next user.

• Only approved (i.e. appropriate) screensavers andauthorized


programs may be installed.

• Food and drink is not allowed in the tech rooms in order toprotect the
hardware. Be aware that in classrooms food and drink could spoil the facility.
Many facilities allow private customers to have coffee or water in their class.
If you allow this, be sure to monitor the rooms regularly for both dirt andused
cups or dishes.

In addition to the reception, office, and classroom areas, the Academic


Director is responsible for ensuring the appropriatecondition and maintenance
of all other areas of the facility, including hallways, storage areas, lounges,
kitchens, and restrooms

cleanliness and supplies periodically during the

day: ensure that toilet tissue, soap, paper towels, etc. arealways
available.

• The kitchen and refreshment service areas are to be neat,clean, and


properly stocked (e.g., refreshments and necessary cleaning supplies) at all
times

. • Closets and shelves throughout the facility must be wellorganized

. • The storage areas and stockroom must be well organizedand well


maintained.

The Academic Director must ensure that all facilities are checked periodically
during the week: ensure that all facilitiesare in excellent shape. Pay particular
attention to general cleanliness with immediate attention paid to repair or
cleaning of the following:

• Dirty marks on door frames, doors and walls


• Dirty or damaged ceiling tiles
• Dirty spots on the carpets
• Dirty or broken curtains and blinds
• Broken furniture

This policy applies to all service users and the staff of theInstitute. The
staff required to keep high standard of cleanliness and hygiene with the
Institute.

Responsibilities

All staff are required to maintain high standard of cleanlinessand hygiene


within the Institute and outside the Institute.
Training coordinators have a direct responsibility to checkand enforce this
policy on the third party training venues.The Institute aims to keep
employees informed on good hygiene practices as part of their mandatory
PD training requirements.

The Institute staff will observe the following hygienic goodpractices:

Male and Female toilets are separate with wash basin.

• Hands should be washed after the toilet is used.


• Toilets are cleaned hygienically every two hours.
• Tissues will always be available at toilets
. • Young learners will be encouraged to cover their mouthand nose when
coughing.

• Any blood, vomit or urine will be wiped up using disposablepaper towels.


These will be disposed of by either flushing them down the toilet or placed
immediately in the outside bin

. • Staff dealing with body fluids will always wear gloves anda plastic apron.

• All training rooms are cleaned with an anti-bacterialcleaner

The Institute will educate the staff on how the infections are transmitted and
how to prevent themselves and others.
Therefore, all staff are encouraged to take their responsibility on adhering to
hygienic practices and be a role models to thelearners.

Monitoring and Evaluation

The Institute has cleaning log sheet to monitor the cleaner’s performance
throughout the day. The Institute manager doesa regular tour twice at least
within the Institute. The external training coordinator checks health, safety and
hygienic aspects on outside training venues. The Institute undertakes a regular
risk assessment analyses to monitor any risk factors.

The Academic Director and the staff will Maintain the Health and Safety policy
of HighQ Training Center and will assure thestudents will follow the policies to
maintain the smooth and healthy environment of the Center.
