CHAPTER 1: INTRODUCTION

There isn’t anything very like voyaging, such as seeing another spot interestingly or

getting back to a most loved one. Individuals, everything being equal from one side of the

planet to the other, go to unfamiliar spots for various reason-mainly for work, family, and

leisure. Whether by plane, train or by automobile, traveling is generally a pleasurable

experience. Hospitality industry is dynamically growing in the recent years, not only in the

number of tourist but also the number of it’s different fields.

Vivid Dream Travel and Tours will begin its operation on September 2024, and will be

located at E. Aguinaldo Highway , 4231 Tagaytay City Philippines ;Vivid Dream Travel and

Tours will begin operation on 2024 it will provide Adventure and Travel packages to the people

Tagaytay City, serving the growing needs of travel and leisure industry in the Philippines. We

aim to provide travelers both local and foreign the privileged to explore the beauty of the

Tagaytay and Philippines.

Furthermore, Tagaytay City is a favored destination because of its cold climate.

Tourists seeking Taal Volcano and Taal lake’s charming views make the city their favorite

place, especially during summer, the holidays, and holy week. As such, the Department of

Tourism (DOT) cited the city as the top tourist destination in the Philippines in 2015. It is also

one of DOT’S priority areas for tourism development. Likewise, it is CALABARZON’s tourist

center. Tagaytay has accepted the privileged position as the second simmer capital in the

Philippines. This by itself means that there is an interest for convenience around here, and

that’s only the tip of the iceberg, the interest for recreation. What’s more, it could simply be the

following large spot for your fantasy home. Individuals come to Tagaytay in light of the fact

that feel the solace of their own home with its cold climate, windy that is neither too cold nor

excessively warm. Throughout the mid-year season, it continues as before, and obviously at

this period, you get the best here dissimilar to the burning hot temperature at Metro Manila

regions.
One of the main motivations why it is cold here at Tagaytay is the development of the

trees at each spot. With the urbanization of nearby urban communities, the city knows its

restriction: that a spotless and sound climate has become such a basic piece of why it stays

CHAPTER 2: LITERATURE REVIEW

2.1. Foreign Literature

Brief History of the First Travel Agency in the World

Established in 1841 by Thomas Cook of Leicester shire in United Kingdom, the travel

agency that was named after him was the first travel agency to be founded in history, and

is known to be one of the oldest and most well-known tour operators in the world to date.

The agency began its service on that same year to which it only offers one-day railway

excursions. Lately, Cook suffered from social problems to which he put the blame on

alcohol, and decided to accommodate temperance patrons to a meeting by organizing a

special train for them. Since then, Cook continued to arrange railway trips for temperance

patrons and Sunday schools until the summer of 1845 when he first launched his first

commercial venture to Liverpool. The excursion made him eventually move from UK to the

entirety of Europe and expanded his company through the years by establishing amenities

such as hotels, resorts, cruises and airlines.

Travel Agencies, Travel Agents and Tour Operators

Travel agencies are referred to as a company or an organization to which all the

products or services related to travel are assembled and coordinated for the business to run

smoothly. These agencies are operated by personnel known as travel agents.

Travel agents are persons who have thorough knowledge of tourist products and

services- from destinations, modes of travel, climate, accommodation, and other products

and/or services offered by the travel agency. Technically, travel agents are the owners or

the managers of a travel agency. In some cases, travel agents make use of other employees

to assist the inquiries and needs of tourists.


On the other hand, tour operators can be a person or a company that is responsible

for planning the tour by setting the individual components (ex. transfer, hotels,

transportation) and packages these components together.

Zhou (2016) stated in his article that travel agencies and tour operators are closely

linked to each other, but works differently in its individual aspect as intermediaries between

suppliers and tourists. A travel agency can also work as a tour operator, or vice versa,

especially in countries other than the United States of America since the evolution of tourism

varies from one country to another.

2.2. Local Literature

Brief History of Tourism in the Philippines

The first ever recorded arrival of tourists in the Philippines dates back in 1960 along

with the increase in the growth of the Gross Domestic Product (GDP) of the country. The

increase in the arrivals caused the economic infrastructure of the country to grow drastically.

On the other hand, certain factor such as financial crisis and political instability deals an

adverse effect in the economy as the number of arrivals decreased.

In the early 1950s, Filipinos have discovered the potential of the tourism industry

towards the growth of Philippine economy. In the same year when the Philippine Tourist and

Travel Association (PTTA) was established to improve certain aspects of tourism, including

an improved access to travel destinations, improved quality and affordability of tourism

products, improved advertising for tourism to reach local residents, and increased

recognition of tourism as a means of improving the socioeconomic aspect of the country. It

was in this period when tourism in the Philippines started to flourish from an estimate of
51,000 tourists in 1960 to 144,000 in 1971 due to the collaboration between the private

sector and the national government, to which the GDP also increased. However, the major

flaw of the industry during this period was the lack of infrastructure to support tourism.

During the Martial law era, the number of foreign tourist arrivals increased from

166,000 in 1972 to 1,000,000 in 1980 in the first half. However, the increased amount of

street protests and rebellious activities dealt a huge impact on the tourism industry as the

arrivals dropped down to about 782,000 in 1986. It was also in the same year, specifically

in the early part where the Department of Tourism (DOT) was reestablished to address the

different tourism issues in the country caused by political instability.

After the Martial Law era, foreign tourist arrivals slightly increased in 1989, yet slightly

pulled back by some circumstances like power supply crisis and the 1991 coup d’état. It was

in the same year when the government established the Philippine Tourism Master Plan

(TMP) as a layout for tourism development. This material allows the Tourism department

and other related agencies to create committees and task forces to ensure the

implementation of the programs as stated in the plan. Since then, the trend on foreign tourist

arrivals increased in 1992 not until the Asian Financial Crisis in 1997 that led to a continuous

downfall until the early 21st century.

Along with the financial crisis that affected the arrivals of tourists in the country is

another political instability. This shortcoming emerged the government declared the Tourism

Act of 2009 to which tourism is considered as an "indispensable element of the national

economy and an industry of national interest and importance, which must be harnessed as

an engine of socioeconomic growth and cultural affirmation to generate investment, foreign

exchange and employment, and to continue to mold an enhanced sense of national pride

for all Filipinos" (Añasco and Lizada, 2017).


Pre-Pandemic Tourist Arrival Statistics in Tagaytay

For years, the Department of Tourism (DOT) labeled Tagaytay as the top tourist

destination in Region 4A. In 2018, the agency recorded the number of tourist arrivals in the

city at an estimated total of about 4.22 million. Ms. Jelanne R. Mendoza, the Tourism and

Cultural Development officer, stated several factors in relation to the booming increase of

tourists including climatic conditions, implementation of laws, the ambiance of the sceneries

and its nearness to Metro Manila.


CHAPTER 3: METHODOLOGY

3.1. Demand Study

Traveling refers to the movement from one place to another. People mostly travel
every day for work purposes, some for relaxation and recreation, some for leisure, exploring
different places, multicultural experiences, educational purposes and many others. Traveling
has its own means in order to reach the desired destination. For long distance travelers, they
prefer to book or use travel agencies for their safety and comfort while traveling, it may be by
land, air or sea.

In establishing a travel agency inside Robinson Tagaytay City, it requires demand


analysis, marketing strategies, franchises, and customer satisfaction. Since the proposed
agency will be located in the Robinson Tagaytay City, as proponents, we conducted a study
and survey around Robinson and its neighboring areas. There were 50 respondents who
answered the survey every day, both regular and seasonal travelers.

needs and budget.

In CALABARZON Region, in which Robinson's Tagaytay City is part of, there

are many travel agencies which offer a variety of travel services that people can avail

at their affordable prices. These Agencies are the following: Quinto Tours and Travel

Services, Tre-zhur Travel, M Solis Travel and Tours, Striker Travel Company and many

more.

Based on the gathered data from 100 respondents, 25% would like to book their

flights in Quinto Tours and Travel Services, because of their commercials and well

experienced services and staff. 25% of the respondents are interested in Tre-zhul Travels,

because it gives them unforgettable memories. Another 25% of the respondents were also

interested in M Solis Travel and Tours because they cater international and domestic

ticketing services and passport applications. While the remaining 25% of the respondents

took the side of Striker Travels Company because of its realistic services and

professionalism.

This chapter is congregated with the overall organizational design of business. The

management study is clear and accurate with the identification of tasks and

responsibilities, and structures. This includes Organization Chart and Employee

Qualifications. It included the formation of the company's organizational structure.

Moreover, this chapter provides an objective overview of the business proposal,

including both positive and negative factors.

1. Form of Business Organization

Vivid Dream Travel and Tours is a Philippine travel agency, that will be a sole

proprietorship form of business in which Vivid Dream Travels and Tours will be

owned and operated by an individual. Vivid Dream Travels and Tours will

integrate with different travel agencies to manage their business in which they

can handle all aspects of travel planning, from arranging itineraries to finding

deals on airline tickets and accommodations.

3. Organizational Policies and Procedures Personnel Policies

 At-will employment- the employer or the employee may end the

employmentrelationship at any time and for any reason, as long as the reason is

lawful. You should display this statement prominently at the top of your

employee handbook. Also, increment the status as desired in the confirmation

form in your manual.

 Anti-harassment and non-discrimination- which prohibits harassment and

discrimination in the workplace.

 Employment Classifications- clearly define job classifications, such as full-

time, part- time, exempt, or non-exempt, as an employee's classification may

dictate eligibility forbenefits. And overtime pay.

 Leave benefits and time off- these policies refer to the company's rules and

procedures regarding time off, leave, sick leave, and other types of leave or time

off as required by law (such as vacation leave) voting, family leave, and

domestic violence) or company policy.

 Meal and Break Policy- informs employees of the frequency and length of such

breaks and any rules or restrictions regarding break times.

 Timekeeping and pay- a time recording policy informs employees how to record

their working hours and how important it is to record time accurately. Payday

policies inform employees of the frequency of paydays, available payment

methods, and special procedures when paydays are holidays or when

employees are away from work.

 Safety and Health- safety policy outlines safety and emergency procedures

and requires employees to report work-related injuries immediately. In addition,

some regulations introduced under the Occupational Safety and Health Act

require employers to have specific policies and programs in place if certain

workplace hazards (such as a hazard communication program if certain

chemicals are present in the workplace).


 Employee conduct, attendance, and punctuality- timekeeping policies state that

employees must be available to work at scheduled hours each day and provide

procedures for notifying the company of unexpected absences or late arrivals.

There should also be policies on standards of conduct, drug and alcohol abuse,

discipline, confidentiality, conflicts of interest, and workplace violence.

 Recruitment forms- there are many forms that can help you identify qualified

candidates during the pre-employment process, such as job applications and

candidate evaluation forms. After a candidate is hired, you must complete a

number ofpaperwork for the new hire, including a W-4 form and an I-9 form. In

addition, certain notices must be provided to new employees.

 Receipt of company property- if you provide employees with equipment, tools,

or other company property, use this form to document what was provided to the

employee. This can help ensure that all assets are returned and accounted for

upon separation.

 Handbook acknowledgments- when employee signs this form, they

acknowledge that it is their responsibility to read and follow all company policies.

Get a signed acknowledgment when you first issue a handbook, when a new

employee is hired, andwhenever you change a handbook.

 Leave of absence- ask employees to submit requests for time off or other types

of time off in writing which can be used for FMLA (Medical and Family Leave

Act) purposes.

 Reasonable accommodation request- require employers to provide

reasonable accommodations to applicants and employees with disabilities, or

those with sincere religious beliefs and practices. Although an employee is not

required to request reasonable accommodation in writing, the employer must

carefully document the request, and all communications relating to the request,

and the result is accommodation.


 Performance and discipline- record all performance and discipline events,
whether positive or negative. This includes annual performance reviews,
recognition received, promotions, and disciplinary actions, such as written
and oral warnings andperformance improvement plans.
 Business expenses- if employees travel for work or incur other business
expenses, ask them to keep an expense journal and submit a written claim for
reimbursement.

 Once the contract was made the client will be assigned to the tour operator that will

work to design the itinerary and make the necessary arrangements, keeping

informedevery step of the way.

 From the moment the client will arrive from the destination until depart, staff will

keep an eye on what's going on and double-check the arrangements in advance to

ensure that every element of their stay goes smoothly and easily.

 If help is needed such as making dinner reservations or arranging tickets for a

theaterevent, Vivid Dream Travel won't add anything to the price set by the host

stores or listed ticket offices.

 If clients ask to only book hotel rooms, the prices we quote will always be

competitiveand include all taxes and services - no hidden extras.

 For international clients, when you book a tour with Vivid Dream Travel, the contract,

and all your privacy and data will be between the client and the travel agency only.

Collection Policies
 Client will receive a full refund for non-refundable tickets within 24 hours after

booking,as long as the flight is at least 7 days away, there is no cancellation

fee.

 Airlines are also allowed to hold your seat for 24 hours without payment, to

meet thisrule, but most will just charge up front and refund you later if you

change your mind.

 This rule applies to tickets purchased directly from the travel agency and this

does notapply to tickets booked through any other travel agency.

 Strictly no credit policy.

Financial Policies

 Division of Duties- designate someone who handles the company's financial

recordsand who is responsible for managing those records.

 Authorization- this policy is for both credit and debit card use. Note that any

changesto a checking or savings account must go through an approval

process.

 Receipts/Disbursement Procedures- when funds come in via cash, check

credit card,or wire disbursements, determine who receives them and how it’s

recorded.

 Payroll- include all the information regarding who processes payroll, keeps

track ofsick and vacation days, and ultimately signs the paychecks.

Equipment Policies
 All company assets including offices, storage areas, work areas, lockers, filing

cabinets, splash, computer system, desk phones, cellphones, modems, fax

machine machines, copiers, copiers, and facilities must be usedproperly and

maintained good performance. Employees who lose, steal, or abusecompany

property may be personally responsible for the replacement or repair of the item.

 Unauthorized inspection, copying, distribution, deletion, installation, damage, or

modification. Company files, passwords, computer systems, or other programs

or assets, or the use of information obtained by unauthorized means will not be

tolerated.

4. Management and Personnel Requirement

General Manager

A travel agency's General Travel Manager must be a detail-oriented individual. The

general travel manager's responsibilities include optimizing travel operations, making

travel arrangements over the phone or the internet, advising on travel arrangements,

and preparing budget reports. They must also be well-versed in travel management

Chapter 6 contains the conclusions and recommendations of the study. The findings

of the study without adding much information is also written on the study. Generally, this

chapter focuses on interpreting the end results of the study.

Conclusion:

1. In accordance with the results from the data gathering, the researchers found out

that Vivid Dream Travel and Tours is an effective travel agency.

Recommendation:

1. Given the fact that the agency is new to the public eye, it is recommended to

maximize up the level of advertising by reaching out to the social media domains

such as Facebook, YouTube and Instagram and devising creative advertising

strategy. This will provide more engagement to viewers, encouraging them more

to avail the services offered by the agency.

2. Improve the services offered by the company through special offers such as

promos and packages for every occasion.
