Faculty Club of Tropical Village National High School


Constitution and By-Laws

Preamble
We, the Faculty Club of Tropical Village National High School imploring the guidance of the
Divine Providence in order to establish an organization for common good, interest and welfare
of the members therefore promote good will and mutual understanding that will properly and
efficiently contribute to the development and growth of our schools, and learners and
communities do hereby solemnly adopt this constitution and by-laws hereto stated.

Article I – Name and Purpose


Section 1: This organization/club shall be known as Faculty Club of the Tropical Village
National High School.
Section 2: Its office and postal address is Tropical Village National High School, San
Francisco, General Trias City, Cavite, Philippines.
Section 3. The purpose of this club shall be to:
a. Act as consultative body and make representations on matters and issuances
affecting the respective members of the club.
b. Upgrade the ethical profession in accordance with the ethical and legal norms,
as well as the moral teachings of the Church.
c. Encourage sharing of human and material resources among the members of
the club.
d. Promote friendship and cooperation among the members of the club and with
others.

Article II – Membership
Section 1: Regular members are composed of all teachers, head teachers, principal, guidance
counselor, disbursing officer and senior book keeper.

Article III – Election of Officers and Terms of Office


Section 1: Election of Officers shall be every two years of the month of June.
Section 2: The term of office of officers shall be two (2) years and they are eligible for re-
election.
Section 3: The president can only be re-elected once.
Section 4: The following procedures shall be followed during election
4a. The eight (8) officers shall be elected through secret balloting.
4b. Muse and escort shall be elected through hand raising of all the members.

Article IV – Officers
Section 1: The officers responsible for the administration of the club are the following:
a. President f. Business Manager
b. Vice-President g. PRO
c. Secretary h. Muse
d. Treasurer i. Escort

Article V- Duties of Officers


Section 1: The President
a. Shall preside at all meetings of the club on general or special meetings.
b. Shall call special meetings of the club when necessary or when requested to do
so by the board.
c. Shall sign all official documents and papers of the club.

Section 2: The Vice President


a. Shall have all the powers and perform all the duties of the president in the
absence of the latter.
b. Shall perform duties/responsibilities delegated to him by the president.

Section 3: The Secretary


a. Shall keep records of the proceedings of the club meetings and general or
special meetings.

Section 4: The Treasurer


a. Shall keep records of all the receipts and expenditures incurred.
b. Shall keep an update financial statement.
c. Shall act as a custodian of funds and financial records of the organization.
d. Shall jointly make deposits and withdrawals with the president.

Section 5: The Auditor


a. Shall examine and audits the books of accounts of the club quarterly.
b. Shall present his/her audit report to the club during the meetings.

Section 6: The Business Managers


a. Shall manage all the affairs of the club.

Section 7: The Public Relation Officers


a. Shall supervise and disseminates necessary information to all members.
Section 8: The Members
Every member shall enjoy the right to:

a. Vote
b. Be informed of the club’s affair and obligations.
c. Examine the book of account

Article VI – Finances, Fees and Dues


Section 1: All officers and members are required to pay fifty pesos (P 50.00) membership fee.
Section 2: Any officers and members of the club who fail to attend any meeting or activity
formally announced in black and white will be required to pay a fine of P 100.00
except for a valid reason.
Section 3: All officers and members shall contribute P100.00 intended for immediate relatives
who passed away such as husband, wife or children or parents but a minimum of
twenty pesos (P20.00) for uncle or aunt and grandparents.
Section 4: All officers and members shall contribute P100.00 in case of hospitalization of any
members because of sickness.
Section 5: All officers and members may solicit funds from any public and private sectors in
conformity with the conditions agreed upon by the club.
Section 6: All officers and members are allowed to file an emergency leave with pay of not
more than 3 days

Article VII – Awards and Recognition


Section 1: Awards and recognition may be given to outstanding members of the club to be
evaluated every year to be given at the recognition day.
Section 2: A service award shall be given to every member who has rendered 15 years and
above of continuous service.

Article VIII – Meetings


Section 1: Regular Meeting
The Faculty Club shall have a quarterly meeting to be held before the PTC of each
year.
Section 2: Special Meeting
Special meeting or general assembly may be called on by the president if deemed
necessary.
Section 3: Officer’s Meeting
The officers of the Faculty Club shall have monthly meetings every last Friday of
the month at the Audio Visual Room.
Section 4: Procedures in Conducting Meeting
The following procedures shall be followed in every meeting of officers or the
general assembly:
a. Calling the meeting to order.
b. Reading of the minutes of previous meeting.
c. Financial Report of the Treasurer.
d. President’s Hour
e. Other Matters
