1.1 What is communication?

Communication is the process of giving, receiving, and sharing information by talking, writing,
listening or reading methods. Every communication has at least one sender, a message, and a
receiver. This may sound like a simple thing but this is a very complex subject. Because this
transmission of the message can be affected by many things such as emotions, situation and the
medium that used to communicate. Strong communication skills like listening actively, paying
attention, being patient and open-minded can help people to go with those scenarios.

1.2 What is effective communication?


Effective communication is the way of exchanging information and ideas between sender and
receiver in a way best understood by the receiver. This is more than just exchanging information
via any medium. It is more about understanding the emotions and expressions of the receiver
when we exchange our ideas with them. Lack of effective communication causes problems such
as misunderstandings, frustration and conflict ensue.

Common barriers to effective communication are:


 Stress and out-of-control in emotions; When people are stressed, they are more likely to
misread other people. To avoid misunderstandings like these, people can learn how to
calm down before continuing a conversation.
 Lack of focus; When we are multitasking, we cannot communicate with others
effectively. When you exchange your ideas with someone, you need to avoid distractions
and stay focused.
 Inconsistent body language; When we say one thing but display another thing from our
body language, the person we are talking with can feel we are being dishonest with him.
To avoid that we should speak complete truth with others.

Effective communication skills are such as:


 Become an engaged listener; The best way to become an engaged listener is fully
focusing on the speaker. As an engaged listener, you should hear the emotions behind the
words.
 Pay attention to non-verbal signals; The way people look, listen, and react can say more
about their opinion than their words. We should be aware of individual differences such
as their body language. And from our half, we should adjust our nonverbal signals
according to the context.
 Controlling your stress and emotions; People can communicate effectively staying calm
under the pressure. You should take a moment to calm down when you are feeling
stressed. You can use stalling tactics to give yourself time to think and be calm.

1.3 Different communication methods

1.3.1 Verbal communication


Verbal communication is the way of sharing information and ideas using words. The technique
of speaking is more commonly known as verbal communication. This element of communication
is all about the words that we choose to use and how they are interpreted. This may sound like
simple, because someone can think if they are able to speak, they are good in verbal
communication. But there are a large number of skills that people want to develop if they want to
be good at it.

The basic verbal communication skills are such as:

 Being able to speak clearly


 Effective listening
 Keep an open mind

1.3.2 Non-Verbal communication


Non-Verbal communication is the way of giving someone a message by using our facial
expressions, gestures, body language, etc. A person’s facial expressions, gestures, body language
and even the tone of their voice are way more powerful communication tools than we think.
Using these tools and understanding them well make communication more effective. As these
signals match up with the words we are using, they can increase trust between sender and the
receiver. When they do not, they can increase tension and mistrust.

When people talk with others non-verbal communication comes along without an effort. As of
this, the other person they are communicating with can easily understand that they are being
truthful or not. So, if someone want to become a good communicator it is very important to
become more sensitive not only to the body language of others, but also to their own.

1.4 Differences of Verbal and Non-Verbal communication


Here are some of the key differences between verbal and non-verbal communication.

2.1 How did you plan the event
Either making a small presentation or organizing a massive event, it requires well-detailed
planning and proper organization. There are number of key aspects, organizers should consider
about such as date, location, type of event, goals and etc. The goal of our team was to help
students who would like to make their future through IT field by sharing our knowledge with
them. Then we discussed about giving a catching name to our event. After a lot of discussions,
we came up with the name “The benefit of IT to build up your Professional life”.

2.1 How did you all discuss regarding the event


As of this COVID-19 pandemic situation, our members couldn’t gather and discuss about the
event. Instead of meeting physically, we had to find alternatives. We chose Microsoft Teams as a
successful platform as it is more convenient for everyone. We held five online meetings and one
physical meeting. The physical meeting was not that successful as some students could not
attend because of the lockdown situation.

2.3 The task planning schedule


Even though organizing an event via online sessions was not that easy, our team members
managed to do the work perfectly. Every and each member of our team got different work sets.
All the works were completed by them on time.
