General:
● The LEA must be personable, responsive and proactive, with a strong work ethic; the position requires performing
diversified and confidential duties, in a very fast-paced environment, to enhance attorneys’ productivity; the role hinges
on broad and comprehensive experiences and skills, and complete knowledge of Firm policies and practices;
● Perform extensive paralegal work, as well as some first year associate work;
● Train new LEAs and assist with Associate training;
● Create, format, edit, proofread, compare, merge, print, scan, photocopy documents in Word, Excel, PowerPoint,
iManage, America Works, Concur, Adobe, Key Documents; prepare faxes, PDFs and document services
documentation;
● Heavy calendar work in Outlook as required by assignment; manage contacts lists, send invitations and arrange Zoom
calls; act as a proactive gatekeeper of attorneys’ calendars and time, and send reminder e-mails;
● Screen internal and external correspondence, e-mails, memos, and reports as required by assignment; assess priority,
complete and distribute in a timely manner;
● Prepare required documents, proof-read, and present to attorney for final review;
● Answer phones; take and communicate accurate messages with appropriate urgency, route calls to appropriate legal and
non-legal staff members, and follow-up as necessary;
● Manage conference room reservations; organize food and beverages, technical and audio video equipment; advise
building security of visitors with their names, companies, e-mail addresses, telephone numbers, dates and time of
arrival; send invites and instructions to visitors along with contact information assigned to matter;
Liaison Responsibilities:
● Act as liaison between attorneys and others within department, and other departments in firm; serve as ambassador
and/or liaison with clients as requested by attorneys (initiate, develop and maintain client relationships);
● Collaborate with fellow LEAs, as well as other firm personnel and departments, to achieve successful request
completion/resolution to attorneys’ and Firm’s satisfaction;

Paralegal Responsibilities:
● Review requests thoroughly, clarify needs, ask thoughtful questions, and prioritize;
● Resolve issues with a high level of attention to attorneys preferences and firm policies; provide accurate, valid and
complete information in response to requests by resourcefully leveraging available tools, systems and departments, as
well as researching information not readily available using multiple search engines, as well as Library research;
● Conduct research and type results as requested;

Firm Procedure Responsibilities:


● Request, review and follow-up on Conflict Checks, open New Client Matters, and submit electronic approvals, as
needed;
● Coordinate Audit Response Letters;

Accounting Responsibilities:
● Create, edit and process client bills as applicable, as well as liaison with billing coordinator and clients regarding same;
follow-up on payments received, and those not received; developed, maintained ongoing chart reflecting all clients and
their billing history, as well as current outstanding bills;
● Prepare and submit expense reports and reimbursements, coordinating charges from American Express Corporate
Cards, phone/picture receipts, paper receipts and online expenses; follow-up with airlines, trains, car services, taxi cabs,
hotels, restaurants, registration venues, entertainment venues, etc as necessary; follow-up to be sure all expenses are
paid and properly categorized for the accounting department;
● Enter, proofread and finalize work diaries, including attorneys’ vacation, sick, personal and travel/conference days;
keep attorneys updated each month as to number a of vacation, personal and sick days are left for the year;
● Pay all attorneys’ business andpersonal bills/invoices, as necessary;

Travel Responsibilities:
● Coordinate, type and proofread absence memorandums, submit into system and post;
● Arrange, coordinate and organize all aspects of travel; map all hotels, conference centers, airports, train stations and
points of interest on an electronic map, and print hard-copy of same;

Record Keeping Responsibilities:


● Manage filing in Decisiv, America Works, Key Documents, KDL, file drawers, and personal workspaces; keep on-
going chart of all files, by category;
● Enter contacts, update information, and create events lists, working party lists, holiday card and gift lists, attorneys
personal lists, and mailing lists in Interaction;
● Developed and maintained an ongoing chart to reflect all speaking engagements, conferences and client-related travel;
● Developed and maintained an ongoing chart to reflect all research papers, speeches, publications, quotes, honorable
mentions;
● Keep track of all personal appointments, make sure they are correctly calendared and updated; remind attorneys of all
items on their calendars;
● Developed and maintained an ongoing chronological case list for attorneys;
● Developed ad maintained chart reflecting client-related travel for each attorney;
● Arrange all seminars, meetings, conferences, social events, etc. attorneys are sponsoring, send out invitations, including
directions, arrange food and beverages, if warranted, arrange entertainment, if warranted arrange car service to and
from event and/or to and from airport/train station; liaison with all attendeeskeep ongoing, update chart of same;

Professional Responsibilities:
● Keep track of attorneys’ licenses, in each starte, and remind them of renewal dates; coordinate and submit, with
payment, all renewals for each state;
● Developed and maintained a chart of each attorneys’ CLE status for their current period, as well as each CLE they
complete, for each state the attorneys are licensed in; coordinate with the state(s) in which the attorneys are licensed to
be sure the CLE requirements for that particular state are met and keep updated as to any changes in requirements for
each state; remind attorneys monthly of their current CLE status for each state, bringing to their attention any CLE
programs, events, etc. that will help them keep up-to-date in all states;
