Planning Committee for Weinland Park Neighborhood Festival


Summary of meeting of March 14, 2016
Present: Diane Dixon, festival chair, Terry Althouse, Madison Eagle, Maddi Napier, Jean
Pitman and Steve Sterrett.
Diane Dixon called the meeting to order shortly after 5 p.m. at Godman Guild Association. The
information below summarizes the planning to date and the decisions made March 14.
Festival date & location
Saturday, August 6, from noon to 4 p.m. in the city park behind the school.
Ms. Dixon reserved the park for that day and arranged for access to the schools restrooms.
Food
Paddy Wagon food truck, Konoa ice truck and Mojos Tacos truck are confirmed. Festival
will charge $50 for each food truck. Ms. Dixon is still working on obtaining a pastry truck.
Festival will provide free ice water from coolers with paper cups and sell popcorn and cotton
candy.
Entertainment
Ms. Dixon has confirmed DJ Carl B (Carl A. Bogan, Jr.) for music and sound system, Olaniyi
Gaiusbayode to lead line dancing and Nicole Glover to lead zumba.
Jean Pitman agreed to check on the Bring the Farm to You program.
Terry Althouse said Kool Kats will provide a bounce house and a large hamster ball, which
could appeal to teenagers and adults. She will check on Kool Kats providing a dunk tank.
Ms. Dixon has asked Kroger for pies for the pie-eating contest and for gift cards.
Other entertainment suggestions: tug-of-war, free-throw basketball contest, and school versus
community kick ball game.
Vendors and information tables
Festival will charge $20 for vendors, who may be selling jewelry, cosmetics, and other items.
Non-profit organizations with information booths will not be charged. Ms. Dixon will contact
Evelyn VanTil about promoting the vendors on the civic associations Facebook page.
Vendors and non-profit organizations must provide their own tables, chairs and canopies.
Diane Dixon will coordinate vendors and information tables.
Volunteers
Madison Eagle reported participants in the YWCAs leadership program will volunteer again
at the festival. YWCA volunteers can assist with popcorn and cotton candy production and
sale and face-painting.
Ms. Eagle will create a portal for all volunteers to sign up.

Ms. Dixon reported Cecil Brown will chair the festivals clean-up committee.
Steve Sterrett suggested the next festival planning committee prepare a list of volunteer tasks
and plan volunteer recruitment.

Other matters
Ashley Dixon, Principal Rhonda Peeples and Rock City Church will be encouraged to
coordinate distribution of school backpacks at the festival.
The 10 canopy tents purchased for the festival last year will be used this year. The festival
will rent a dance floor and more than the 35 tables and 60 chairs rented last year.
Ms. Pitman will design a festival flyer for 2016.
Ms. Dixon will check with Jane Wiechel about Schoenbaum Family Center staff assisting
with preschool activities and whether Proctor & Gamble products will be given away.
Ms. Pitman reported Jen Mankin has large boxes for trash and recycling at festival.
